HealthWISE is seeking a motivated and organised Administration Assistant to support the effective delivery of healthcare services in Tamworth. Reporting to the Corporate Services Manager this roleprovides high-quality administrative and operational support to clients staff and stakeholders. You will play a key role in creating a welcoming efficient environment while ensuring accurate records smooth day-to-day operations and a strong focus on client service confidentiality and compliance.
Key responsibilities
Provide front desk support including greeting clients and answering phone enquiries
Manage client records and appointments using clinical software systems
Triage and respond to emails across shared inboxes
Support visiting specialists and clinic operations
Process invoices manage mail and maintain office supplies
Coordinate maintenance requests and office operations
Assist with fleet management WHS checks and compliance requirements
Support meetings room bookings and general administrative tasks
Maintain registers records and reporting systems
Contribute to a positive culturally safe and professional workplace
About you
Essential:
Previous administration or clerical experience (healthcare preferred)
Strong computer skills including Microsoft Office (Word Excel Outlook Teams)
High level of accuracy in data entry and record keeping
Ability to work independently and as part of a team
Strong communication skills and professional manner
Ability to maintain confidentiality and follow privacy requirements
Excellent attention to detail organisation and time management
Reliability professionalism and consistent attendance
Ability to remain calm under pressure
Understanding of workplace safety and infection control practices
Desirable:
Experience with medical software (e.g. Best Practice)
Experience in a primary healthcare setting
First Aid and CPR certification
Certificate III or IV in Health or Business Administration
Experience with workplace health and safety processes
