• Collect, review and organize the scope, resource, scheduling, activity tracking and status related project information with the help of electronic means (file shares, sharepoint, project information management tools) and make it accessible to the managers, team members and other stakeholders
• Keep the basic project information (org-charts, time schedule, activity list, technical baselines, risk and opportunity register) in good shape, i.e. up-to-date, well structured and formatted, and accessible
• Ensure professional project management standards are obeyed to, i.e. always having a plan (time-schedule, resource plan, budget) and report the status against such plan
• Ensure minutes and action-item lists are kept throughout the project (includes arranging for forms and tools, and writing such minutes for selected meetings), and action-items are done as agreed
• Prepare meetings and workshops for project management and progress, by compiling the required documents, distribute those, set agendas, moderate progress meetings, keep minutes, distribute meeting results and follow-up on action-items or subsequent meetings
• Prepare a “Project Master Controls Dashboard” with the KPIs describing the projects status, health, and outlook, and periodically publish those
• Collect and compile relevant information for the overall project reporting, e.g. monthly progress report, internal reporting to business unit
• Reply to ad-hoc requests for project status or project documentation
• Develop an early warning system for imminent risk or upcoming crisis situations, including triggering mitigation and response plans
