Job Description Recruitment Specialist

Position Details

  • Position Title: Recruitment Specialist
  • Department: Human Resources
  • Location: Qatar
  • Duration: 6 Months (Extendable)

Job Purpose

The Recruitment Specialist is responsible for managing the full recruitment lifecycle for approved vacancies across the organization. The role involves coordinating with internal stakeholders sourcing and screening candidates managing recruitment agencies and ensuring recruitment activities are completed efficiently professionally and in compliance with company policies and procedures.

The ideal candidate will have strong experience in technical and non-technical recruitment within Facility Management Maintenance Engineering and Facility Services sectors with the ability to manage multiple hiring requirements simultaneously.

Key Responsibilities

Recruitment Management

  • Receive and validate recruitment requests for approved positions in line with organizational structure and manpower budgets.
  • Coordinate with department heads and hiring managers to understand manpower requirements reporting structures and candidate profiles.
  • Review standardize and update job descriptions to ensure clarity consistency and alignment with market standards.
  • Develop and implement effective sourcing strategies using direct sourcing recruitment agencies and online recruitment platforms.
  • Prepare and publish job advertisements on approved recruitment portals and sourcing channels.
  • Coordinate with recruitment agencies and provide detailed job briefs and hiring requirements.

Candidate Sourcing & Selection

  • Source screen and shortlist candidates based on qualifications experience and job suitability.
  • Conduct initial candidate assessments and preliminary interviews.
  • Coordinate and schedule interviews with hiring managers and relevant stakeholders.
  • Collect document and consolidate interview evaluation feedback.
  • Support hiring managers in candidate comparison and final selection processes.
  • Conduct reference checks background verification and credential validation as required.

Offer Management & Onboarding

  • Communicate with selected candidates regarding salary expectations notice periods and joining timelines.
  • Coordinate with HR and management for preparation and issuance of offer letters in line with approved compensation structures and company policies.
  • Manage offer discussions and ensure timely closure of recruitment processes.
  • Support onboarding activities through proper handover of candidate documentation and information to HR Operations.

Recruitment Reporting & Compliance

  • Monitor recruitment progress against agreed timelines and proactively address delays or bottlenecks.
  • Maintain accurate recruitment records reports and documentation.
  • Ensure compliance with internal policies procedures and approval workflows.
  • Prepare periodic recruitment reports and KPI analysis including:
    • Time-to-Hire
    • Sourcing Effectiveness
    • Offer Acceptance Rate
    • Recruitment Status Updates
  • Maintain regular communication with stakeholders regarding recruitment progress and hiring updates.

Agency & Stakeholder Management

  • Manage relationships with recruitment agencies and monitor agency performance and candidate quality.
  • Maintain professional communication with internal departments external agencies and candidates throughout the recruitment process.
  • Build and maintain talent pipelines for future hiring requirements.

Confidentiality & Professionalism

  • Maintain strict confidentiality while handling candidate and company information.
  • Ensure professionalism integrity and ethical recruitment practices at all times.

Qualifications & Experience

  • Bachelors Degree in Human Resources Business Administration or related field.
  • Minimum 67 years of core recruitment experience in Facility Management Maintenance Engineering or Facility Services industries.
  • Strong experience handling end-to-end recruitment processes for technical and non-technical positions.
  • Proven experience working with Arab Management and recruiting Arab candidates.
  • Hands-on experience using recruitment platforms such as:
    • LinkedIn
    • Naukri Gulf
    • Naukri India
    • Other online sourcing portals
  • Experience working with ERP systems and HR recruitment modules.
  • Experience managing recruitment agencies and coordinating with multiple stakeholders.
