Planning & Organizing:
- Process medical paperwork for to securing resident visas
- Organise medical appointments and transportation for visa medicals
- Ensures that all Dubai Municipality guidelines are strictly observed and adhered to
- Set up and conduct health related training programs on personal hygiene kitchen safety procedure food handling and basic first aid
- Monitor employees that are declared medically unfit for duties either long term or short term and coach departments heads on the hotels modified work program.
- Maintain patient confidentiality and quality patient care.
- Initiate occupational health card processing with the Dubai Municipality in a timely manner to minimise risk of fines
- Have a strong understanding of the recruitment costs associated with the clinic visa medicals and occupational health cards ensuring deadlines are met and fee expensed are within the Human Resources budget.
- Will initiate community service in coordination with the Dubai Municipality such as Clean up the world blood donation and an earth hour campaign.
- Will work hand in hand with the Hygiene office towards HACCP implementation and accreditation for the hotel.
- To assist in organizing employee events including employee parties sports teams and lifestyle classes
Operations:
- Provide care to staff and guests as required
- To maintain a database of Clinic purchase requisitions and other related payables.
- Keeps the clinic hygienic and tidy
- Orders clinic supplies and stationary as required and actions faulty equipment in line with municipality standards
- Provide emergency care and first aid treatment to all the employees and guests within scope of responsibilities
- Maintains a secure systemic medical file of all employees
- Assist physician during guests/employees consultation and treatment.
- To accompany employee/guests to the clinic/ hospital whenever needed.
- Provides advice and is the main point of contact whenever a major medical decision/procedure is to be carried out on the patients behalf.
- Promotes awareness of health safety and wellness to reduce work-related injuries and illness.
- Ensuring that all First aid boxes in the hotel is properly replenished on a weekly basis.
- Train and monitor injury prevention as well as provide a monthly report on injuries.
Administration:
- Organize and communicate the schedule of employees for visa medical and Food Handlers health cards ensuring they understand the compulsory attendance.
- Ensures that employee will be registered on the Medical Life and Workers compensation insurance on their first day of work
- Places copies of Medical and Food Handlers Cards on employee files and tracks expiry dates for action. Ensures employees sign the copy as confirmation of receipt of the cards
- Assists employees for replacement of lost cards
- Ensures all Executive Committee changes to status salary or property transfer are forwarded to insurance provider in a timely manner
- Ensures all medical insurance cards are collected from employees terminating their employment and associated paperwork is sent to Alico or Bupa are informed accordingly
- Audit enrolments and terminations monthly with the insurance company ensuring accuracy of records and to minimise expenses.
- Responsible for collecting any reimbursement claims and organising a driver from the insurance company for collection. Assist employees with completion of claim paperwork or follow up on payment as requested.
- Tracks and reports monthly summary of incidents and safety statistics champions hotels prevention of lost-day claims by probing incidents and reporting for standards. Any patterns of sick leave or unusual situations of long periods of sick leave should be reported to the Director of Human Resources.
- Providing medical reports in case of incidents and ensuring that proper medical care is given.
- Files all general documents and correspondence and ensures the confidentiality in all matters relating to the Human Resources department.
- Update employees records in regards to incident report and short term disability days and leave accumulated days.
- Authorizes and controls sick leave of employees and submits a monthly sick leave report to the Director of Human Resources.
- Tracks employees visiting the clinic on a daily basis.
