Description:

Up to 14 hours per week organizes and implements administrative systems and procedures. Serves as principal source of information on unit project or program. Gathers and maintains data for and assists in preparing reports often using a variety of computer software. Prepares and maintains financial personnel administrative student records. Provides for smooth day to day flow of communications within the department. May compose proofread edit and prepare correspondence reports and other materials using word processing spreadsheets and or databases. Arranges for use of facilities and plans meetings conferences and seminars. Contributes to unit goals by accomplishing clerical or administrative duties as required. Ability to work independently with minimal supervision to handle complex and confidential information. Competency using a variety of office computer software. Requires intermediate to advanced knowledge of email calendar word processing spreadsheets. Prior office experience required.

  • Additional Job Details : Job Summary The Program Assistant a member of the Harvard Professional & Executive Development team supports the preplanning and delivery of the Division of Continuing Educations (DCE) noncredit open enrollment and exclusive Professional & Executive Development programs. Position Description The Professional & Executive Development team cultivates manages and delivers a growing portfolio of programs for both open enrollment audiences as well as private clients oncampus online and offsite.This position will have responsibility for supporting program delivery conveying the DCE brand by providing excellent customer service and through keen attention to detail in producing quality program materials. Duties also include oncampus and online support during program sessions significant interaction with an international audience of businesspeople and other units around the University as needed. Reports to a Professional & Executive Development Program Manager. Event Planning and Logistics Prints and assembles large quantities of program materials for participants with keen attention to detail Helps with setup and program delivery on dayof events both in person and virtually Carefully packs and ships collateral and materials for offsite programs Prepares documentation and packing lists for offsite shipments Maintains accurate and organized inventory of programrelated collateral ensuring adequate availability for program leadup and program days Runs triage as necessary during event; anticipates and supports participant/instructor needs Successfully balances highquality participantfacing activities along with a myriad of behindthescenes administrative duties Contributes to improved business process efficiencies Customer Service Effectively communicates with participants and fields requests to appropriate team members for assistance during in person and online programs. Works to enhance participant experience throughout session Basic Qualifications Minimum of 3 years experience in event planning/management or customer service An equivalent of education beyond high school plus experience in event planning/management or customer service Additional Qualifications and Skills Ability to work in a collaborative crossfunctional fastpaced deadlinedriven environment with a diverse set of stakeholders and a demanding global clientele Strong attention to detail and ability to follow through Ability to multitask Excellent customer service skills Ability to be adaptable and flexible when facing unknown situations Exceptional oral and written communication skills Flexibility and ability to occasionally work long hours prior to and during programs (M F with varying hours ranging from 7 am to 7 pm) Flexibility to potentially plan and work weekend programs. Must be able to lift 30 lbs
