We are seeking a proactive and detail-oriented Project Administrator to support our team on a prestigious Airport PMC project in Jeddah Saudi Arabia. The Project Administrator will play a vital role in supporting project operations maintaining documentation facilitating communication and ensuring that administrative tasks are executed with efficiency and accuracy.
This role requires someone highly organized capable of handling multiple tasks in a dynamic and fast-paced environment and who can serve as a reliable backbone for the project management team.
Provide comprehensive administrative support to the project team and management staff.
Maintain and organize all project-related documents including contracts correspondence reports and meeting records.
Prepare and format reports presentations letters and meeting minutes as required.
Schedule and coordinate meetings appointments and travel arrangements for project staff.
Assist in tracking project progress timelines and deliverables using standard project management tools.
Liaise with internal departments and external stakeholders to facilitate information flow and ensure timely communication.
Manage the document control system and ensure all records are archived according to company and client requirements.
Support procurement HR and finance teams with project-specific administrative needs (e.g. timesheets expense reports vendor coordination).
Assist with onboarding of new project staff and ensure all project protocols are followed.
Monitor office supplies and equipment related to the project site office and coordinate with suppliers for replenishments.
Prepare agendas compile documentation and take minutes for project and client meetings.
Ensure compliance with project and company quality and safety procedures in administrative processes.
Support ad-hoc requests and perform other duties as assigned by the Project Manager or PMC leadership.
Diploma or Bachelors Degree in Business Administration Project Management or a related field.
Minimum of 57 years of administrative experience preferably in a PMC engineering consultancy or large infrastructure project environment.
Prior experience on airport or aviation-related projects in the Middle East is highly desirable.
Familiarity with project document control systems (e.g. Aconex Primavera Contract Management SharePoint etc.) is an advantage.
Strong working knowledge of Microsoft Office Suite (Word Excel PowerPoint Outlook).
