Job Summary

POSITION SUMMARY:

Under the direction of the Associate Director of Health & Wellness the Wellness Coordinator supports the day-to-day operations of the Fitness & Healthy Living Department and Wellness Center. This position helps ensure the delivery of a safe welcoming and high-quality member experience by coordinating wellness programs supporting staff and member engagement and assisting with departmental operations.

The Wellness Coordinator plays a key role in supporting Personal Training services Wellness Center operations staff communication and member retention initiatives. Working collaboratively with the Associate Director and Health & Wellness team this position contributes to the successful execution of programs operational excellence and achievement of departmental goals.

This role is ideal for an emerging health and wellness professional seeking to build leadership experience in a mission-driven environment. Responsibilities may evolve based on organizational needs and professional growth opportunities.

Regulary Sunday availability is required.


ESSENTIAL FUNCTIONS:

Personal Training Program Oversight

  • Coordinates day-to-day administrative operations of the YMCAs Personal Training program in collaboration with the Associate Director.
  • Assists with member referrals trainer assignments scheduling coordination and promotion of Personal Training services.
  • Monitors participation trends and program activity to support member engagement and program growth.
  • Helps ensure adherence to YMCA Personal Training standards policies and best practices.
  • Maintains accurate records and assists with program reporting and operational tracking.


Staff Support & Development

  • Supports recruitment onboarding orientation and training of Fitness & Healthy Living staff.
  • Assists with staff scheduling communication and operational coordination.
  • Supports administration of the Group Exercise program including instructor communication and class coverage coordination.
  • Serves as a resource for Fitness Center staff Personal Trainers and Group Exercise Instructors by providing operational support and guidance.
  • Assists in monitoring service quality and communicating observations to the Associate Director to aid in performance appraisal process.
  • Promotes a positive team culture focused on accountability collaboration and exceptional member service.
  • Assists in tracking staff certifications and required credentials to ensure compliance with YMCA standards.


Fitness Center Operations

  • Supports daily Wellness Center operations to ensure a safe welcoming and engaging environment.
  • Serves as a visible leader by modeling exceptional member service and YMCA values.
  • Conducts regular facility walkthroughs and communicates equipment maintenance and repair needs.
  • Assists in maintaining cleanliness organization and safety standards throughout fitness areas.
  • Supports implementation of wellness initiatives challenges and programs designed to increase member participation and retention.
  • Ensures adherence to YMCA policies safety procedures and risk management practices.


Member Engagement & Experience

  • Maintain working knowlesge of YMCA programs services policies and membership offerings in order to effectively assist members and make appropriate referrals.
  • Builds strong relationships with members to support a welcoming and inclusive wellness environment.
  • Promotes YMCA wellness programs and services in collaboration with the Membership and Healthy Living teams.
  • Maintains a visible presence throughout the Wellness Center to proactively engage members and provide support.
  • Responds to member questions feedback and concerns in a professional and solution-oriented manner.
  • Supports initiatives that strengthen member satisfaction participation and long-term engagement.


Administrative Responsibilities

  • This position is expected to spend a minimum of 35 hours per week performing administrative and operational duties with opportunities to teach up to 5 hours of group exercise classes or provide personal training.
  • Assists with operational coordination of the Personal Training program and other Health & Wellness initiatives.
  • Supports payroll processing and administrative tracking for Personal Training and Fitness staff in accordance with YMCA procedures.
  • Tracks participation utilization and operational data to support planning reporting and decision-making.
  • Assists with departmental scheduling to support appropriate staffing coverage.
  • Maintains program records reports and related documentation.
  • Contributes to continuous improvement efforts and departmental planning initiatives.

  • Participates in meetings staff trainings and organizational initiatives as assigned.
  • Maintains strong working relationships with members volunteers and community partners to strengthen engagement and advance the YMCAs role as a community leader.
  • Supports organizational policies safety practices and risk management standards to ensure a safe and welcoming environment for all.
  • Assists with other duties as assigned.



Philanthropy:


All YMCA staff are accountable for understanding the organizations charitable status and mission to assure access for all through active participation in fundraising and philanthropy efforts.


  • Work with the Development Team HR and key philanthropy volunteers to increase your understanding and skill set.
  • Train mentor equip and hold your staff accountable for participating in the annual campaign by identifying and recruiting member volunteers and soliciting donations.
  • Build strategic relationships with members for year round member cultivation to increase the number of member campaign volunteers and donors.
  • Achieve annual support campaign goal by directly and personally participating in campaign efforts and ongoing fundraising by identifying new volunteers and potential new donors. Recruit volunteer campaigners for the annual campaign; secure their campaign gift and assist them in achieving the department goal.

QUALIFICATIONS:

  • Previous supervisory experience preferred.
  • Current personal training certification from a nationally recognized organization (ACE ACSM NETA NASM or equivalent) preferred.
  • Experience in health and wellness or a related field preferred.
  • Enjoy be skilled at and understand the importance of building relationships with people: members staff volunteers donors and community leaders.
  • Able to receive and maintain CPR first aid AED certifications.
  • Multi-task oriented; effective organizational skills and able to take initiative.
  • Ability to effectively communicate and problem-solve.
  • Ability to respond to safety and emergency situations.
  • Experience with computers and database systems.


WORKING CONDITIONS:

  • This position requires availability for early mornings evenings weekends and regular Sundays.
  • Ability to work in a fast-paced environment where multi-tasking is a must.
  • Ability to stand or sit while maintaining alertness for several hours at a time.
  • Position may require bendingleaningand walking.
  • Vision abilities required by this job include close vision and ability to view computer monitors.
  • Ability to speak concisely and effectively communicate.
  • Visual and auditory ability to respond to critical situations and physical ability to act swiftly in an emergency
  • Ability to view/enter data for long periods of time.
  • May have exposure to communicable diseases and bodily fluids.
