Job Description:

We are a growing real estate company seeking a highly organized proactive and detail-oriented Virtual Assistant to support our agents brokers and administrative team. The ideal candidate will play a key role in keeping our operations running smoothly from managing communications and scheduling to handling listings and client follow-ups all from a remote setting.

Key Responsibilities:

  • Administrative Support Manage and organize email inboxes calendars and appointment scheduling for agents. Prepare and proofread documents contracts and correspondence. Maintain accurate and up-to-date digital files databases and CRM records. Handle data entry filing and document management tasks.
  • Listings & Transaction Coordination Assist with creating and updating property listings on MLS Zillow and other platforms. Coordinate with buyers sellers inspectors and title companies during the transaction process. Track deadlinesencies and closing dates. Prepare listing presentations comparative market analyses (CMAs) and buyer/seller packets.
  • Client Communication Respond to buyer and seller inquiries via email phone and social media in a timely manner. Follow up with leads and maintain consistent communication throughout the sales cycle. Send thank-you notes feedback requests and check-in messages to clients.
  • Marketing & Social Media Schedule and post content on social media platforms (Instagram Facebook LinkedIn). Create basic marketing materials such as flyers newsletters and email campaigns. Assist with updating the company website and managing online reviews.
  • Research & Reporting Conduct market research on property values neighborhood trends and comparable sales. Compile weekly reports on lead activity pipeline status and task completion. Assist in preparing reports and presentations for client meetings.

Qualifications:

  • Required: Proven experience as a Virtual Assistant Administrative Assistant or in a similar remote support role. Strong written and verbal communication skills in English. Proficiency with Microsoft Office Suite and/or Google Workspace. Experience with CRM tools such as Follow Up Boss KvCORE or HubSpot. Excellent organizational skills and the ability to manage multiple priorities. Reliable high-speed internet and a dedicated home office setup.
  • Preferred: Prior experience in real estate property management or the mortgage industry. Familiarity with MLS platforms Dotloop or DocuSign. Experience with Canva Mailchimp or social media scheduling tools. Real estate license (not required but a plus).
