The primary role of the Vendor Data Coordinator is to manage and maintain accurate vendor information within our systems. This position requires a strong focus on data integrity vendor relationship management and process improvement. The ideal candidate will have experience in data management excellent communication skills and the ability to work effectively with both internal teams and external vendors.
Primary Responsibilities 1. Vendor Communication: Initiate and maintain regular communication with vendors including a major retailer to gather updates on orders deliveries and other relevant information. Address any issues or concerns raised by vendors promptly and professionally. Build and maintain strong relationships with customers and key vendor contacts. 2. Customer Communication: Communicate with customers as needed to relay information about orders deliveries or other inquiries. Provide excellent customer service and address customer concerns or questions in a timely manner. 3. Data Management: Accurately input and update data in various systems and databases. Ensure data consistency and integrity across multiple platforms. Regularly audit data to identify and rectify any discrepancies or errors. 4. Documentation and Reporting: Compile and prepare weekly reports summarizing vendor and customer interactions data updates and other relevant metrics. Maintain accurate records of all communication and transactions with vendors and customers. 5. Data Upload and Integration: Upload data to various platforms and systems as required. Collaborate with IT or relevant teams to ensure data integration and synchronization. 6. Process Improvement: Identify opportunities for process improvement and efficiency enhancements in vendor communication and data management. Make recommendations to management for streamlining processes. 7. Compliance and Quality Assurance: Ensure that all data and communication adhere to company policies and industry regulations. Implement quality assurance measures to minimize errors and discrepancies.
Knowledge Skills and Abilities
Proven experience in vendor or customer communication data coordination or a related role.
Intermediate experience with Microsoft Excel and PowerBI with proficiency in all apps across the Microsoft Office Suite and Power Apps.
Proficiency in using data management tools & software.
Lite project management & task management skills.
Excellent verbal and written communication skills.
Strong organizational problem-solving and time-management abilities.
Attention to detail and a commitment to accuracy.
Ability to work independently and as part of a team.
Problem-solving skills and the ability to adapt to changing priorities.
Familiarity with Smartsheet is a plus.
Qualifications
High school diploma or equivalent; Bachelors degree in business administration or related field preferred.
Relevant training or certifications in data management or procurement is a plus.

Standard business hours for this role are Monday through Friday 8:00 AM to 5:00 PM
