Job Summary

Job Title: UltraCamp Coordinator

Reports To: Student Billing Account Manager

Location: CHCA Johnson Business Center

Status: Full-Time/Hourly/Non-Exempt

Start Date: July 2026

Job Summary:

The UltraCamp Coordinator handles overseeing the registration process for events programs or services ensuring a smooth and efficient experience for our CHCA community.

Job Responsibilities:

Build registration sessions for school activities (athletics fine arts student support services intersessions service immersions summer courses for credit summer camps employee fitness classes after school care as well as campus field trips).

Create session-builds data link reports for teachers/administrators to track rosters parental forms incidentals and other fields as needed.

Facilitate online commerce by creating payment schedules and processing refunds.

Generate weekly delinquency reports and make collection calls on past-due balances.

Reconcile all sessions at end-of-quarter to ensure paid in full.

Execute and communicate processes and procedures for UltraCamp session builds (hold teachers/administrators accountable for providing requirements on time).

Work collaboratively with CHCA marketing team to communicate registration opportunities to CHCA families and community at large (website/flyers/media).

Collaborate with accounting to obtain general ledger accounts for session builds.

Provide the facilities team with summer-camp locations and contact information.

Create verify and approve session discounts (multi activity multi sibling others as needed).

Reporting of school-sponsored trips rosters and other clarifying information as requested by CHCAs insurance carriers.

Provide status reports to the CFO Controller and stakeholders as needed.

Regular reviews to ensure Loss Control Resources are reflected in registration forms as required by Great American Insurance Group.

Provide Student Billing support and backup as needed.

Weekly touch-base meeting with manager

Projects as assigned.

Required Skills and Qualifications:

Four-year college degree or equivalent experience

Must possess excellent attention to detail.

A commitment to exceptional customer service and effective working relationships

Intermediate knowledge of Microsoft Word and Excel

Superior and effective written and verbal communication skills

Excellent interpersonal skills for working successfully with all constituencies and levels of the organization and community.

Ability to establish priorities and multi-task.

Must always maintain confidentiality.

Excellent problem solving and critical thinking skills.

Comfortable working in a multi-denominational Christian community

Must be a positive and proactive collaborator.
