Job Description
The Utah Division of Forestry Fire and State Lands is seeking a dynamic and high-tempo individual to serve as a Support Services Coordinator II. This is a shared position working for the Directors office and Wasatch Front Area. This position requires secretarial skills including knowledge of billing purchasing supervisory skills record keeping office management human resources payroll travel policy and procedures etc. This individual will work with public local fire departments and our staff across the counties in the Wasatch Front and work closely with the division director. This individual will responsible for supervising a direct report.
Key Responsibilities
- Provide clerical and/or administrative support and assistance.
- Review approve and process fire billings through the State Fire Billing System.
- Manage Area budget perform purchasing and invoicing duties.
- Coordinate in and out of-state travel for the executive team reconcile travel and purchasing invoices and reimbursements
- Manage the directors demanding schedule and have the ability to foresee and rectify conflicts create meeting agendas attend meetings and transcribe and summarize notes and delegate support services tasks to subordinates.
Qualifications
Minimums
- Ability to communicate effectively verbally and in writing including ability to compose official documents and correspondence; ability to follow oral and written instructions.
- Ability to establish and maintain positive and effective work relationships with employees representatives of other agencies and the public.
- Ability to perform complex clerical duties requiring considerable exercise of independent judgment.
- Proficient in MS Office (Excel Word) and Google Suite (Gmail Calendar Drive)
Preferred
- Experience with accounts payable budgeting and basic office finance.
- Experience with human resources recruiting and on-boarding.
- Is able to communicate information and ideas clearly and concisely in writing; read and understand information presented in writing.
- Is highly organized tech savvy service oriented and works well under pressure.
- Experience performing secretarial and clerical work as outlined in the job description.
- Professional demeanor with an outgoing and helpful personality.
- Excellent organizational skills and ability to prioritize tasks with simultaneous urgent deadlines.
- Skilled in office software and quick to learn new systems.
Supplemental Information
- Risks found in the typical office setting which is adequately lighted heated and ventilated e.g. safe use of office equipment avoiding trips and falls observing fire regulations etc.
- Typically the employee may sit comfortably to perform the work; however there may be some walking; standing; bending; carrying light items; driving an automobile etc. Special physical demands are not required to perform the work.
- Som in-state travel will be rewuired.
- Driver License.
