The University of Miami/UHealth Department of SCCC has an exciting opportunity for a Full-Time Sr. Manager Programs to work at the UHealth campus in Miami Fl.

CORE JOB SUMMARY
The Sr. Manager Programs oversees the day-to-day administrative management of assigned program(s) within the department and works to ensure the successful implementation of all initiatives. The incumbent operates with the goal of delivering high-quality programs to the University faculty and staff and other key stakeholders. Furthermore the Sr. Manager Programs serves as the liaison to leadership faculty students and staff.

CORE JOB FUNCTIONS

  • Prepares maintains and reports on program effectiveness.

  • Assists with managing program budget by monitoring expenditures.

  • Stays abreast of market trends and legislation impacting program functions.

  • Checks verifies organizes and prepares grants procurement and other program-relevant documents.

  • Supervises monitors trains and evaluates program staff members to ensure compliance with applicable policies and procedures.

  • Coordinates logistics for program events and activities.

  • Works with other departments to increase program awareness.

  • Identifies new needs and emerging issues and develops new programs initiatives and resources.

  • Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with university policies and procedures. Ensures employees are trained on controls within the function and on university policy and procedures.

CORE QUALIFICATIONS
Education: Bachelors degree in relevant field required

Experience: Minimum 5 years of relevant experience required

- Financial Oversight: Knowledge of financial operations and management.

- Technical Proficiency: Skilled in using office software technology and relevant computer applications.
- Communication: Strong verbal and written communication skills to convey ideas clearly and persuasively.

Department Specific Functions:
  • Serve as the primary administrative lead and key point of contact for trainees faculty mentors program directors and internal stakeholders for assigned NIH institutional training grants.
  • Oversee trainee appointments reappointments amendments and termination actions in eRA Commons/xTrain and ensures the timely and accurate submission of required documentation.
  • Monitor trainee eligibility progress milestones and outcomes to support program oversight evaluation and reporting.
  • Prepare coordinate and compile annual continuation renewal and closeout reports for sponsoring agencies including NIH Research Performance Progress Reports (RPPRs) and required training grant tables.
  • Monitor grant activities for compliance with NIH NRSA institutional and sponsor requirements including trainee eligibility appointment timing reporting obligations effort and allowable costs.
  • Partner with pre-award post-award finance and research administration teams to support budget management expenditure monitoring trainee-related expenses and fiscal planning within approved funding levels.
  • Coordinate trainee recruitment application selection onboarding and orientation processes in collaboration with faculty and program leadership.
  • Develop and maintain standard operating procedures tracking systems timelines and communication workflows to support efficient program administration and audit readiness.
  • Coordinate program activities supported by the grants including seminars workshops advisory meetings trainee development initiatives and evaluation activities.
  • Support competitive renewals new training grant submissions and strategic initiatives that strengthen the institutional training grant portfolio.
  • Communicate grant status deadlines risks compliance matters and action items clearly and effectively to faculty staff and leadership.
  • Identify operational needs recommend process improvements and independently resolve complex administrative and programmatic issues related to NIH training grant management.
  • Coordinate trainee course registration training-related requirements and other educational activities in an academic research environment.
  • Process reimbursements of trainee or program-related expenses in accordance with institutional and sponsor guidelines.
  • Support the Sylvester Postdoc Council including coordination of communications meetings initiatives and other programmatic activities that enhance postdoctoral engagement.

  • Ability to manage complex programs implement operational processes and assess program effectiveness.
  • Ability to interpret and apply sponsor institutional and regulatory requirements with a high level of accuracy and attention to detail.
  • Strong project management organizational and deadline management skills.
  • Excellent written and verbal communication skills including the ability to prepare reports and communicate effectively with faculty trainees and administrative partners.
  • Demonstrated ability to build collaborative relationships exercise sound judgment and work independently on sensitive or complex matters.
  • Proficiency with enterprise systems such as Workday Microsoft Excel and database or tracking tools used for financial monitoring and program administration is preferred

Experience:

A minimum of five years of progressively responsible experience in program administration research administration academic administration or sponsored programs is required. Experience supporting NIH training grants or other federally funded training programs is strongly preferred.
