The Specialist Visa & Immigration will support the administration and coordination of the companys U.S. immigration program. This role is responsible for managing a variety of employment-based immigration cases partnering with employees managers HR and outside counsel to ensure timely and compliant addition to case management responsibilities the Specialist will serve as a key project coordinator for the immigration team supporting program initiatives compliance activities reporting audit preparation invoice management and process improvement efforts.
This role will help drive operational efficiency while delivering positive employee experience and supporting business objectives.
Essential Functions:
- Manage a portfolio of U.S. immigration cases including common non-immigrant visa categories (H-1B L-1A/B TN E-3 O-1 F-1 etc.) and employment-based permanent residence cases.
- Serve as a point of contact for employees and managers providing guidance on immigration processes timelines and documentation requirements.
- Partner with HR Payroll Finance Talent Acquisition and external immigration counsel to support timely and compliant case processing.
- Maintain accurate immigration records case trackers and employee documentation.
- Support immigration compliance activities including audit preparation Public Access File maintenance and reporting.
- Coordinate team projects and program initiatives helping to track deliverables timelines and process improvements.
- Manage immigration invoices and partner with Finance to support payment processing and budget tracking.
- Utilize Excel and reporting tools to maintain data support audits and prepare program metrics.
- Monitor case deadlines and proactively communicate upcoming actions to stakeholders.
- Provide exceptional customer service while responding to employee and stakeholder inquiries.
Education Skills and Experience Requirements:
- Bachelors degree preferred.
- Minimum 2 years of U.S. business immigration experience either in-house or with an immigration law firm.
- Knowledge of employment-based immigration processes and visa classifications.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Proficiency in Microsoft Office Suite including Excel.
- Strong attention to detail and ability to work with confidential information.
- Excellent verbal and written communication skills.
- Ability to collaborate effectively across teams and build strong working relationships.
- Experience supporting projects audits reporting or operational initiatives is a plus.
- Proficiency with Microsoft Office Suite (Excel Word PowerPoint Outlook) and experience with HRIS and immigration case management systems including Workday.
US Salary Range
$70000 - $80000 USD
Where an employee or prospective employee is paid within this range will depend on among other factors actual ranges for current/former employees in the subject position; market considerations; budgetary considerations; tenure and standing with the company (applicable to current employees); as well as the employees/applicants background pertinent experience and qualifications.
