Job Summary
The Special Projects Coordinator plans and executes Child Advocates special events and community outreach initiatives while coordinating volunteers partners and program activities. This role manages projects such as Childspree the Holiday Party Santas Wish List Young Professionals for Children (YPC) the Special Needs Program and Junior League programs while providing administrative and database support to the Community Outreach team. The ideal candidate is highly organized detail-oriented and skilled at managing multiple priorities and building positive relationships with volunteers and community partners.
Essential Job Functions
- Organize and execute the organizations special events including but not limited to theChildspree Holiday Party Santas Wish List and Junior League birthday parties.
- Coordinate the activities of the Young Professionals for Children (YPC) organizationincluding:
- Support the leadership in its efforts to increase the effectiveness and awareness of YPC amongHoustons professional community.
- Attend meetings.
- Perform administrative duties like fielding phone calls and emails and processing memberships.
- Plan membership socials to foster program growth and member engagement; and
- Develop and manage budget.
- Manage the Special Needs program from request to fulfilment; prepare and oversee the programbudget.
- Coordinate the Junior League Life Book Program including:
- Foster the organizations relationship with the Junior League Life Book Chairwoman.
- Plan and execute the Life Book Training Program.
- Schedule and manage case reading day monthly meetings and socials for the children.
- Serve as the liaison between Children Protective Services and the Junior League to select cases and obtain and prepare information for the Life Book Program volunteers.
- Review and edit Life Books.
Other Job Functions
- Provide administrative support to the Community Outreach Director as needed.
- Maintain Community Outreach and Special Projects database records in Raisers Edge; generatequeries and reports as needed.
- Administer background checks as required for any volunteers participating in special events orchildrens activities and update volunteer records in Raisers Edge.
- Manage distribution of donated tickets to children served by the organization.
- Assist with Advocacy University (training and database management) as needed.
- Perform additional duties as needed.
Qualifications
Work Experience
- Minimum of 1 year of experience organizing and planning events/special activities.
- Minimum of 1 year of experience communicating and interfacing with volunteers or providing information and assistance in a customer service-related field.
- Minimum 1 year of administrative experience including file management data entry and spreadsheet generation and maintenance.
Education
- Bachelors degree required
Essential Skills and Requirements
- Proficient knowledge of Microsoft Outlook and PowerPoint and database management.
- Intermediate to advanced knowledge of Microsoft Excel and Word.
- Excellent time management and organizational skills.
- Demonstrated ability to communicate effectively with a diverse population including management coworkers volunteers board members donors and organizational stakeholders.
- Demonstrated ability to effectively motivate and manage others.

- Must be able to sit at a computer for extended periods of time.
- Must be able to lift up to 30 pounds.
- Must have valid Texas Drivers license and auto insurance and be able to drive personalvehicle to events and to pick up food or supplies for events and meetings.
- Must be able to work evenings and weekends as needed.
Compensation and Benefits
- Salary range between $47000 to $50000
