Overview
This position supports a customer-facing workplace environment and serves as a primary point of contact for employees visitors and executive administrative teams including C-suite executives. Responsibilities include hospitality workplace experience conference room coordination event planning space management facility support reporting and general administrative services.
Responsibilities
- Provide daily hospitality and workplace experience support while maintaining a professional high-quality employee and visitor experience.
- Coordinate conference room scheduling reservations setup inspections and A/V equipment resources.
- Conduct workplace walkthroughs and inspections of hoteling spaces offices conference rooms and common areas.
- Monitor workplace areas and identify facility issues; submit and follow up on maintenance requests.
- Manage service tickets and respond to employee requests in a timely and professional manner.
- Support space planning workplace coordination relocations and general administrative needs.
- Coordinate special events and provide executive event support for four annual Board of Directors meetings and other special events.
- Serve as a primary customer contact and maintain professional communication with employees visitors customers and senior leadership.
- Perform office services including copy courier managed print imaging mail shipping and receiving and reception support as needed.
- Operate PCs copiers multifunction devices imaging and mail equipment and required software efficiently.
- Complete work orders inspections reports and other daily administrative tasks.
- Monitor office supplies and coordinate reordering as needed.
- Interact with vendors facility management occupants and other service partners as required.
- Collect and provide data to leadership and customers and complete monthly reports as needed.
- Ensure assigned financial and service responsibilities are met.
- Maintain positive internal working relationships and communicate professionally.
- Perform other duties as assigned.
Requirements
- High school diploma or GED required.
- 1 years of experience in hospitality workplace experience facilities office services B2B technical or a related field.
- 1 year of customer-facing experience required.
- Strong customer service skills with a professional executive presence.
- Comfortable interacting with senior leadership executives employees visitors customers vendors and facility teams.
- Demonstrated knowledge and understanding of technology with basic technical aptitude.
- Strong written and verbal communication skills.
- Moderate problem-solving skills and tactical thought processing.
- Ability to present information to a small group.
- Ability to operate office equipment and required software.
- Ability to work effectively in a fast-paced high-visibility environment.
- Business-casual attire or approved professional workplace attire required.
- Professional clothing is required for the interview.
- Ability to work MondayFriday 8:00 AM5:00 PM and work overtime during annual Board meetings and special events.
