Service Coordinator
Job Summary
The Service Coordinator supports the day-to-day operations of Tech Solutions serving as the first point of contact for customers and technicians while keeping schedules service calls project documentation and reporting running smoothly. This role is designed with growth in mind: as the Coordinator builds a strong foundation in scheduling and service support they will take on increasing responsibility including learning to prepare and support project bids.
Coordinate and maintain technician schedules for service calls inspections and installations.
Answer incoming phone calls route inquiries appropriately and provide friendly professional customer service.
Support fire alarm accounts including scheduling and tracking inspections due dates tracking monitoring status preparing paperwork submitting permits and coordinating with local authorities having jurisdiction (AHJs).
Maintain accurate records in the departments scheduling and service management software.
Assist technicians and project managers with day-to-day administrative needs (work orders service tickets documentation).
Communicate proactively with customers regarding appointment windows delays and follow-up needs.
Gathering vendor quotes and assembling proposal documents for service repairs that require quotations
Generate billing invoices for completed service calls inspections monitoring services
Learn the fundamentals of low voltage systems and networking
Support general department administration as needed including filing data entry and correspondence.
High school diploma or equivalent required; associate degree or relevant coursework a plus.
Strong organizational skills and comfort managing multiple schedules or priorities at once.
Excellent phone etiquette and customer service skills.
Proficient with Microsoft Office (Outlook Excel Word); ability to learn new software quickly.
Clear written and verbal communication skills.
Prior experience in a trades construction or field-service office environment preferred but not required.
Willingness and ability to learn technical information related to low voltage systems and networking requirements.
