Your Department
AJCs Regional Offices connect the local communities with AJCs global advocacy work to enhance the well-being of the Jewish people and Israel. We maintain the agencys nationwide presence by attracting leaders and donors to AJC enhancing the organizations influence with key local national and international decision makers and stakeholders implementing advocacy initiatives at the state and local level and establishing and nurturing community relationships.
Your Impact This position makes an impact at AJC by providing effective execution of tasks and providing essential support to the success of the team/department; may lead moderate projects. Works with regular oversight to solve routine and moderately complex problems and make routine and moderately complex decisions.
Incumbents provide essential administrative support to the department enabling their team to function effectively and efficiently. The senior coordinator is responsible for completing a variety of administrative communications and event coordination tasks and assisting with or leading projects and initiatives aligned with AJCs priorities. Senior coordinators bring experience and knowledge to the position consistently demonstrate excellent performance skills and achievements and they handle assignments of larger scope increased complexity and greater impact reflecting their elevated role within the team.
Your Role
  • Support the execution of the departments strategy goals objectives and action plans by completing a variety of administrative tasks
  • Coordinate logistics and communications for advocacy and outreach projects events and meetings
  • Plan and implement research projects
  • Maintain calendars and schedule meeting
  • Arrange complex and detailed travel plans itineraries and agendas
  • Process expense reports and other tracking/reporting tasks
  • Maintain inventory of office and event supplies
  • Take notes at meetings with internal and external stakeholders
  • Organize and maintain department documentation files
  • Maintain the departments contacts and mailing lists
  • Execute departmental reporting and tracking (e.g. financial reports budgets expenses program updates donor contributionscontracts)
  • Serve as a point of contact for AJC colleagues and external stakeholders
  • Organize prioritize and manage incoming and outgoing communications (phone calls email and mail)
  • Respond timely to inquiries and requests from internal and external stakeholders
  • Prepare and disseminate group mailings
  • Draft correspondence documents spreadsheets and other communication materials
Specific to This Role
  • Conduct donor foundation and corporate prospect research
  • Draft donor dossiers prior to donor meetings parlor meetings and large-scale events
  • Manage donor acknowledgement process by tracking incoming gifts and pledges and assigning acknowledgement responsibility to WRO colleagues
  • Support national acknowledgement process by providing donor information to national colleagues as needed
  • Maintain inventory of donor marketing materials
  • Execute departmental reporting and tracking (e.g. prospect lists solicitation spreadsheets donor revenue reports board campaign tracker financial reports and others as needed)
  • Update and maintain AJCs CRM database (Raisers Edge)
    • Organize and maintain department documentation files
    • Maintain the departments contacts and mailing list
  • Prepare and execute development focused email marketing through HubSpot
  • Manage gift processing
    • Enter gift adjustments pledges and incoming gift notifications in collaboration with Gift Processing Team
  • Coordinate development event logistics with Development Team (e.g. vendor contracts room set up submit security forms draft run of show coordinate pre-event briefings manage rsvp list create name tags and table tents pack and unpack event materials etc.)

Education Training and Experience
  • Bachelors degree
  • Minimum of 3 years of experience and proficient job skills and knowledge

Compensation
The salary for this position is $53000 to $58000 depending on relevant experience and location.
