Job Summary
The Sales Coordinator is the engine behind the sponsorship sales operation. Working directly with the Sales Director this role fills the calendar with qualified meetings builds the proposals and recaps that win and renew partners moves contracts from handshake to signature and makes sure every signed deal gets handed cleanly to the team that has to deliver it.
You will learn the back end first. Proposals contracts deliverable tracking and activation handoff teach you how a sponsorship is actually built and what it costs us to keep a promise. Once you know that you get in front of prospects yourself. This role exists to expand the sales team not to sit behind it.
Key Responsibilities
Meeting Generation and Prospecting Support
- Make outbound calls and send outbound emails to prospects to set qualified meetings for the Sales Director.
- Build and maintain the prospect list across all event properties tracking outreach history and next steps.
- Manage the sales calendar including scheduling confirmations and pre-meeting prep materials.
- Attend prospect and partner meetings take notes own the follow-up and progressively take on more of the conversation.
Proposals and Recaps
- Build sponsorship proposals and pitch decks for new and renewing partners using the Funatix proposal template in Canva.
- Build post-event recap decks showing partners what they got using confirmed numbers only.
- Pull the event details audience data and inventory needed to make a proposal specific rather than generic.
- Keep the proposal and recap library organized and current so nothing gets rebuilt from scratch.
Contracts
- Create update and route sponsorship contracts using existing Funatix templates.
- Track contracts through signature chase down what is outstanding and keep the pipeline status accurate.
- Collect and file certificates of insurance W-9s logos and other partner paperwork.
- Flag any non-standard term or requested contract change to the Sales Director and General Manager rather than solving it independently.
Contract Activation and Project Management
- Build out every signed contract in Asana so the experience team knows exactly what was sold to whom and by when.
- Translate contract language into concrete tasks with owners and due dates across marketing operations and event execution.
- Track deliverable fulfillment through the event and flag gaps before they become a partner problem.
- Run the handoff conversation between sales and the experience team so nothing gets sold that nobody knew about.
Invoicing and Accounts Receivable
- Create and issue partner invoices in line with contract terms and agreed payment schedules.
- Own the accounts receivable picture across the portfolio keeping an accurate aging report of what is outstanding and how long it has been outstanding.
- Follow up directly with partner billing contacts on past-due balances professionally and persistently.
- Reconcile payments against contracts with the admin team so what was sold what was invoiced and what was collected all match.
- Flag any account at risk of delivering against an unpaid contract to the Sales Director and General Manager before the event not after.
Sales Operations
- Maintain accurate pipeline inventory and partner records.
- Prepare sales reporting and pipeline updates for leadership.
- Identify what is still unsold across the portfolio and bring it forward rather than waiting to be asked.
Event Support
- Work event days as needed including nights weekends and holidays during the season.
- Support partner hosting and on-site activation so the people who bought something see it working.
Other Duties as Assigned
- Take on additional responsibilities as the business and the event calendar require.
What We Are Looking For
- One to three years of sales business development or client-facing experience. Strong internships and campus sales roles count.
- Genuine willingness to pick up the phone and make the call. This is not a role for someone who prefers email.
- Organized enough to run contracts deadlines and deliverables across dozens of events at once without dropping one.
- Clear professional writing. You will be the one following up in front of partners.
- Comfort with Canva Asana and standard office tools or the ability to pick them up quickly.
- Willingness to work nights weekends and holidays during event season.
- Valid drivers license and the ability to travel to meetings and events across North Dakota.
- Bachelors degree in business sales marketing sport management or equivalent experience.
