Position Summary

The Remote Medical Practice Administrator / Operations Manager is responsible for managing the day-to-day administrative and operational activities of the organization while ensuring efficiency compliance and exceptional service delivery. This leadership role requires a proactive professional who can coordinate multiple departments optimize workflows support healthcare staff and maintain excellent communication with patients caregivers and leadership.

The ideal candidate possesses strong leadership abilities exceptional organizational skills healthcare administration experience and the ability to manage multiple priorities in a fast-paced remote environment.



Requirements
Key Responsibilities
  • Oversee daily administrative and operational functions of the medical practice.
  • Ensure efficient scheduling staffing and workflow coordination.
  • Supervise administrative personnel and provide leadership coaching and performance support.
  • Monitor operational performance and implement process improvements to increase efficiency.
  • Coordinate communication between healthcare providers caregivers patients and internal departments.
  • Maintain accurate patient records while ensuring compliance with HIPAA and company policies.
  • Develop and implement operational policies procedures and best practices.
  • Monitor productivity metrics operational reports and departmental performance.
  • Assist with budgeting expense tracking and resource allocation.
  • Support recruitment onboarding and training of administrative staff.
  • Collaborate with leadership on strategic planning and organizational growth initiatives.
  • Resolve operational challenges quickly while maintaining excellent patient and employee satisfaction.
  • Ensure compliance with all applicable federal state and healthcare regulations.
  • Manage vendor relationships and coordinate operational resources.
  • Prepare reports presentations and documentation for executive leadership.
  • Participate in quality improvement initiatives and process optimization projects.
Qualifications
Required
  • Bachelors degree in Healthcare Administration Business Administration Public Health or a related field (or equivalent professional experience).
  • Minimum of 3 years of experience in healthcare administration medical office management or operations management.
  • Strong knowledge of healthcare operations and administrative procedures.
  • Excellent leadership and team management skills.
  • Outstanding written and verbal communication skills.
  • Exceptional organizational and time-management abilities.
  • Ability to manage multiple priorities with strong attention to detail.
  • Proficiency with Microsoft Office Suite (Word Excel Outlook Teams and PowerPoint).
  • Experience using Electronic Health Record (EHR) systems and healthcare management software.
  • Ability to work independently in a remote environment.
Preferred
  • Experience in home healthcare senior care or medical practice management.
  • Knowledge of HIPAA regulations and healthcare compliance requirements.
  • Experience with CRM systems scheduling platforms and project management tools.
  • Professional certification in Healthcare Administration or Operations Management is a plus.
