Job Summary

We are seeking a reliable organized and detail-oriented Records Processing Assistant to join our remote team. This entry-level role supports daily business operations by processing documents updating records entering information maintaining digital files and assisting with routine administrative tasks.

The ideal candidate is comfortable working with computers following established procedures reviewing information for accuracy and completing assignments independently in a remote environment.

Previous professional experience is not required. Training and guidance will be provided to qualified candidates.

Key Responsibilities
Records Processing & Data Entry
  • Enter and update information in spreadsheets databases and internal systems.

  • Process routine records forms applications and administrative documents.

  • Review information for accuracy completeness and consistency.

  • Verify data against approved source documents when required.

  • Identify missing duplicate or incorrect information.

  • Correct routine errors when authorized.

  • Update existing records with current information.

  • Perform basic quality-control checks before completing assignments.

  • Follow established procedures for processing and maintaining records.

Document Management
  • Upload label categorize and organize electronic documents.

  • Maintain accurate digital filing systems and shared folders.

  • Scan or convert documents into approved electronic formats when required.

  • Apply established file-naming and document-storage procedures.

  • Archive completed or inactive records appropriately.

  • Retrieve authorized documents and records when requested.

  • Maintain document indexes tracking logs and reference materials.

  • Help ensure records are accessible to authorized team members.

Administrative Support
  • Provide routine administrative assistance to internal teams.

  • Prepare and update spreadsheets trackers and administrative logs.

  • Organize forms templates reports and supporting documentation.

  • Assist with processing internal requests.

  • Monitor shared administrative inboxes or communication channels when assigned.

  • Route documents and information to appropriate team members.

  • Track routine assignments and outstanding requests.

  • Assist with additional administrative projects as needed.

Data Quality & Accuracy
  • Review records for obvious errors or missing information.

  • Compare information across documents and systems when required.

  • Perform routine data-quality checks.

  • Flag unusual or incomplete records for further review.

  • Follow established procedures for correcting information.

  • Maintain accurate and current business records.

  • Escalate issues that cannot be resolved through standard procedures.

Communication & Team Support
  • Communicate professionally through email chat and virtual meetings.

  • Respond to routine internal questions and requests.

  • Provide updates regarding assigned work.

  • Request clarification when instructions or documents are incomplete.

  • Coordinate with team members regarding routine records or documentation issues.

  • Maintain timely and professional communication while working remotely.

Confidentiality & Security
  • Handle company customer employee and vendor information responsibly.

  • Follow privacy confidentiality and information-security procedures.

  • Access only information required for assigned responsibilities.

  • Protect confidential documents and account credentials.

  • Report potential information-security concerns through appropriate channels.

Required Qualifications
  • High school diploma GED or equivalent.

  • Basic computer proficiency.
