Job Summary
When several people edit a document confusion can start with a filename. This role helps an office keep forms approved documents and related correspondence organized so staff can rely on what they open. The Records and Document Control Assistant checks completeness follows filing instructions and records where a document stands in the review process.
The work is full-time and based in the office. Pay is $23.50-$28.50 per hour.
A typical assignment might begin with a package of submitted forms. You would check that the required fields and supporting pages are present record the date received and place the material in the correct location. If an item is missing notify the person responsible for obtaining it. When a revised version arrives you identify which file it replaces and keep the history according to the employers procedure. You should not erase or approve a record simply because it appears ready.
- Log documents received from staff or outside contacts.
- Check for missing fields attachments signatures or dates.
- Apply the employers file naming and version rules.
- Route a document for the required review or approval.
- Update a status log so others can see what is pending.
- File completed material in the assigned electronic or paper location.

Some documents arrive in a clean sequence; others come by separate emails with revisions that need sorting. The assistant can compare the versions note the difference and ask the owner which one should move forward. That careful question prevents an old draft from being mistaken for the final document. You will learn the employers retention and approval process rather than invent one yourself.
The team needs a person who can concentrate on details without losing sight of the next user of the record. The purpose of the log is not to create busywork. It should answer practical questions: Did the form arrive Is a signature missing Who has it for review Where is the approved version A clear record supports customer service and other office administration because people can give accurate updates instead of searching through folders.
Prior document control or administrative experience is helpful but careful recordkeeping in another setting may transfer well. Basic computer use readable email writing and the habit of checking your work matter. Applicants newer to formal office roles are welcome when they can demonstrate accuracy and a willingness to follow a defined process. Training covers the employers filing system and document types.
Not every employee who asks for a file should automatically receive it. You will learn who may access different kinds of information and how requests for restricted material are approved. If a document is sent to the wrong place or a record appears incomplete raise the issue promptly through the employers process rather than trying to hide the error. Good document control includes being honest about the status of a file.
The office may use both electronic records and a small amount of paper. Keep the two connected by recording where an original is held and where the working copy can be found. If a form is scanned check that every page is readable before marking the task finished. A missing page discovered later can slow down an entire request.
A document is in the correct place its status is current and the next employee can tell whether it is ready to use. If a question remains the record identifies it plainly. The assistants work may be quiet but an orderly system prevents delays and keeps colleagues from using outdated information.
