This is a dynamic front-of-house role where hospitality organization and facilities coordination come together to create a seamless workplace experience. As the first point of contact in a professional corporate environment you will set the tone for excellence from the moment visitors and employees arrive.
Youll play a key role in both reception and workplace operationsbalancing exceptional customer service with behind-the-scenes coordination that keeps the office running smoothly and efficiently.
What Youll Do
Greet all visitors and employees with professionalism and warmth managing check-in procedures badge issuance and visitor logs in accordance with security protocols.
Handle incoming communications including phone calls emails and internal messages with accuracy professionalism and timely response.
Coordinate conference room bookings ensuring spaces are properly prepared with required technology equipment and meeting arrangements.
Maintain a clean organized and professional reception area while proactively identifying and reporting facility maintenance needs.
Manage office supplies inventory tracking mail distribution courier services and package handling with efficiency and discretion.
Support access control processes including visitor management systems badge creation and key distribution while maintaining security standards.
Assist with facilities administration such as processing invoices supporting purchase orders and maintaining vendor and service records.
Collaborate with internal teams and service providers to ensure smooth daily operations and a high-quality workplace experience.
What You Bring
High school diploma or equivalent required; associate degree or relevant certification preferred.
35 years of experience in reception administrative support or facilities coordination within a corporate or professional environment.
Strong proficiency in Microsoft Office Suite (Word Excel Outlook PowerPoint) and standard office technologies.
Excellent verbal and written communication skills with professional phone etiquette.
Strong organizational and multitasking abilities with the ability to remain composed in fast-paced environments.
Working knowledge of building operations safety procedures and basic facilities management principles.
Professional demeanor with strong discretion and a commitment to confidentiality.
Preferred Skills
