The role of Receptionist/Human Resources assistant is critical as this individual is the welcoming face for all of the Crest Companies. The Receptionist is responsible for greeting customers visitors and vendors. This individual will check in our guests following company protocols notify the appropriate person of their arrival and (on occasion) escort the guest to the appropriate location within the Crest Corporate Center. The Receptionist also manages a multi-line phone system directs calls to the appropriate recipient and monitors the messaging system to ensure correct call routing. This individual will also support our Human Resources team in core administrative tasks and projects as assigned.

DUTIES AND RESPONSIBILITIES:

  • Serves visitors by greeting welcoming and directing them appropriately and notifies appropriate recipient of visitor arrival.
  • Informs callers and visitors by answering or referring inquiries.
  • Directs visitors by maintaining employee and department directories.
  • Maintains security by following procedures and monitoring guest logbook.
  • Operates the Crest Industries phone system through professionally answering calls and routing them as appropriate.
  • Manages the company voicemail messaging system by monitoring messages and ensuring that they are routed and delivered to the appropriate recipient.
  • Keeps a safe and clean reception area by complying with procedures rules and regulations.
  • Welcomes interviewing candidates and escorts them to interview locations when requested.
  • Works with the Human Resources teams to create and submit check and payment requests.
  • Creates and distributes calendar invitations for events and large meetings.
  • Coordinates the birthday card new baby and new marriage gift distribution.
  • Plans and coordinates the company luncheons.
  • Assists with Fleet Training assignment.

REQUIREMENTS:

  • Three plus years of administrative or customer service experience is required.
  • Excellent organizational skills with the ability to anticipate needs and priorities.
  • Intermediate skill level with Microsoft Word and Excel is required.
  • Ability to work consistently while managing a variety of interruptions.
  • Attention to detail capable of proofing your own work and the work of others.
  • High sense of urgency and confidentiality.
  • Excellent communication skills and the ability to interact with all levels of the organization.
  • Proficient computer skills in Word Excel and PowerPoint and typing skills.
  • Available for occasional overtime as needed.

Physical Requirements:

  • Sitting: Ability to sit for prolonged periods at a desk.
  • Vision: Clear vision to read computer screens and verify identification.
  • Hearing: Acute hearing to answer phones and speak with visitors.
  • Manual Dexterity: Ability to operate a keyboard mouse and office equipment.
  • Lifting: Capability to lift light items up to 15 or 20 pounds.
  • Mobility: Ability to move around the office to greet guests or file documents.
