Job Summary

Join our team as a Project Coordinator specializing in managing critical project documentation and schedules for commercial millwork projects. This entry-level role is perfect for detail-oriented professionals eager to support project lifecycles through precise documentation and coordination.

As a Project Coordinator you will focus on administrative and operational project management tasks including creating and tracking essential project documents coordinating logistics and maintaining schedules. You will collaborate closely with project managers estimators production shops and General Contractors to ensure smooth project execution from start to finish.

  • SCHEDULE: 7AM 4PM M-F
  • PAY: 22.00hr

Responsibilities

  • Create organize and track critical project documentation such as submittal logs product data sheets RFIs and change orders.
  • Coordinate with vendors and internal fabrication shops to ensure timely ordering and delivery of specialty hardware lumber veneers and solid surfaces.
  • Maintain and update project timelines tracking milestones between shop production and General Contractor installation schedules.
  • Serve as the primary administrative contact facilitating clear and timely communication via email and phone between General Contractors field teams and internal staff.
  • Assist Senior Project Managers in tracking project budgets compiling monthly progress billings and organizing vendor invoices.
  • Compile complete closeout packages for General Contractors including Operation & Maintenance manuals material warranties care instructions and tracking punch-list completion.


Required Qualifications

  • 12 years of administrative experience in construction manufacturing or trade subcontractor environments (e.g. Project Assistant Project Coordinator Contracts Administrator).
  • Strong mastery of Microsoft Office.
  • Exceptional organizational skills with sharp attention to detail and ability to manage multiple project files simultaneously.
  • Confident proactive and professional verbal and written communication skills for interfacing with commercial clients and internal teams.


Preferred Qualifications

  • Basic ability to navigate architectural plan sets.
  • Experience with Procore or manufacturing ERP software.
