Project Coordinator

Job Summary
We are seeking a detail-oriented and organized Project Coordinator to join our growing team in Sacramento CA. This role will work closely with project managers engineers subconsultants and our Project Cost Accounting (PCA) team to support the administrative and coordination needs of projects where KPFF serves as the prime consultant.
Youll help keep projects organized and moving forward by coordinating subconsultant agreements and scopes project documentation project setup and budget tracking Bluebeam sessions and permit submittals. This is a great opportunity for someone who enjoys working behind the scenes of complex projects managing details and collaborating with both technical and administrative teams.
What Youll Do
- Prepare and track subconsultant agreements amendments and related documentation
- Assist with the preparation and coordination of scopes and scoping documents for subconsultants
- Create and maintain Bluebeam Studio Sessions and support project document coordination
- Coordinate with Project Managers and the Project Cost Accounting (PCA) team on project setup budgets and billing tracking
- Coordinate permit submittals including preparing documentation tracking status and communicating with agencies
- Maintain organized project files agreements correspondence and other project documentation
- Track project deadlines action items submittals and administrative requirements
- Coordinate with subconsultants and internal team members to gather information and keep project activities moving forward
- Support project meetings including scheduling meeting materials notes and follow-up items as needed
- Provide additional project coordination and administrative support to Project Managers throughout the project lifecycle
Qualifications :
- Experience in project coordination project administration or a similar role
- Strong organizational skills and attention to detail with the ability to manage multiple projects and priorities
- Strong written and verbal communication skills
- Comfortable working with project documentation contracts scopes budgets and other detail-oriented information
- Proficiency with Microsoft Office including Outlook Word Excel and Teams
- Ability to work independently take ownership of assigned responsibilities and collaborate effectively across project teams
- Proactive approach to tracking details following up and keeping work moving forward
Preferred Qualifications
- Experience in an architecture engineering construction or other professional services environment
- Experience supporting projects involving multiple subconsultants
- Experience with Bluebeam or similar project collaboration and document management tools
- Familiarity with project setup budget tracking billing processes or project accounting coordination
- Experience coordinating permit applications or submittals with public agencies
- Familiarity with professional services contracts subconsultant agreements and scopes of work

Compensation
The base salary range for this role is $28-$35 per hour determined by experience education and skills. KPFF also offers performance-based bonuses to recognize outstanding contributions. Additional details about the full compensation package will be provided during the interview process.
