Job Summary


The Project Coordinator provides administrative and project support to field operations by completing recurring tasks maintaining accurate documentation preparing reports and researching discrepancies that may affect revenue. This position verifies subcontractor invoices against daily production and reporting documents assists with basic revenue and work-in-progress research and supports department projects and customer commitments. The role requires strong attention to detail follow-through problem-solving and professional communication with internal teams customers subcontractors and vendors

Essential Functions:

  • Research subcontractor costs using MetaViewer Dynamics HCSS Heavy Job and supporting documentation
  • Verify subcontractor invoices against daily production and reporting records
  • Assist with basic research involving revenue work in progress missing documentation and subcontractor work
  • Identify discrepancies incomplete information or potential revenue-impacting issues and communicate them promptly to management
  • Complete recurring administrative and task-based assignments accurately and within established deadlines
  • Professionally communicate with internal and external customers by phone and email
  • Collect organize and document critical metrics for multiple departments
  • Prepare and distribute weekly reports for internal management and external customers
  • Create reports and maintain trackers for revenue-impacting activities deadlines and outstanding items
  • Research issues by reviewing available records systems and communications to determine the appropriate next steps
  • Assist the Field Support Manager with documenting and updating procedures and processes
  • Track documentation and training requirements for field employees
  • Build productive working relationships across departments and treat neighboring departments as internal customers
  • Assist with maintaining document-retention requirements
  • Assist with department projects operational needs and customer commitments
  • Manage multiple priorities and follow assigned items through completion

Qualifications/Special Knowledge Skills:

Ability to communicate professionally and effectively in writing by phone and in person with employees management customers subcontractors and vendors. Strong organizational interpersonal teamwork research and problem-solving skills. Intermediate Microsoft Excel and Word skills. Must be detail-oriented and able to manage multiple assignments accurately meet deadlines recognize discrepancies raise concerns promptly and follow tasks through completion.

    Education/Experience:

    Required: High School Diploma

    Preferred: Business degree or certificate with concentrations in business management

    Preferred Experience: Two or more years of administrative project coordination reporting customer service accounts receivable or accounts payable experience preferably within the construction or utility industry. Experience with NC811 Maximo MetaViewer Dynamics or similar operational and financial systems is preferred but not required

While performing the duties of this job the employee is regularly required to talk and listen. The employee is often required to stand walk and use hands/fingers.

    • Able to walk lift reach stoop stand grasp balance climb kneel crouch and lift up to 15 pounds frequently.
    • Able to sit at a desk and work on a computer for prolonged periods of time.
