Position Summary
The Project Administrator / Office Manager is responsible for the day-to-day administration organization and operational support of the office. This role ensures a safe efficient and well-maintained work environment while providing administrative and project support to managers and teams. The position serves as a key liaison between employees building services vendors IT support and other departments to ensure business operations run smoothly. Safety is a top priority and the incumbent is expected to promote and support a culture of safety by incorporating safe practices into all aspects of their work and maintaining compliance with company safety standards and emergency preparedness requirements.

Key Responsibilities
  • Maintain a safe organized and professional office environment by ensuring workspaces common areas equipment and supplies support efficient operations and comply with company safety standards.
  • Serve as the primary point of contact for office operations coordinating with building management facilities vendors and IT to address maintenance needs technology support workspace readiness and operational issues.
  • Manage office resources including supplies equipment printers and related services ensuring all materials and systems are stocked functional and available to support business needs.
  • Support director managers and teams with administrative and project-related activities including scheduling document preparation meeting coordination and tracking action items and deliverables.
  • Coordinate meeting and event logistics including room reservations catering setup and cleanup to ensure a positive and professional employee experience.
  • Promote a culture of safety by updating and maintaining safety and emergency signage supporting emergency preparedness initiatives and drills identifying workplace hazards and incorporating safe work practices into all aspects of the role.
  • Coordinate with building management and company stakeholders regarding safety-related issues and facility concerns.
  • Demonstrate a personal commitment to safety by making safety a priority in every task decision and interaction and by encouraging others to do the same.
Qualifications
  • 3 years of relevant professional experience.
  • Strong organizational and multitasking skills with excellent attention to detail.
  • Excellent verbal and written communication skills.
  • Strong proficiency in Microsoft Office Suite (Outlook Word Excel PowerPoint Teams).
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong customer service and interpersonal skills.
  • Experience coordinating with vendors facilities and technical support teams preferred.
