The PMO Coordinator is the operational backbone of Program Management Office supporting the Senior Director of Program Management and the broader PM organization across Product Customer Delivery and Supply Chain programs. This role owns the tools reporting cadences and documentation discipline that keep multi-GW deployments aligned accountable and on track. It is a high-leverage operational seat for someone who takes pride in execution excellence and being the source of truth across a complex fast-moving portfolio.

KEY RESPONSIBILITIES

  • Own and administer the program management tooling stack (Smartsheet MS Project or Planview) layered on the Microsoft 365 environment including templates user access and integrations with Teams and SharePoint.
  • Run the program reporting cadence: weekly portfolio status monthly executive dashboards and quarterly board-ready summaries.
  • Maintain the program management methodology playbook stage-gate templates risk register format and naming conventions across the PM organization.
  • Track KPIs across all program pillars flagging schedule cost and scope deviations to the Senior Director of Program Management before they escalate.
  • Coordinate the program operating rhythm: steering committee prep action item tracking meeting minutes and follow-through on cross-functional decisions.
  • Maintain documentation standards and version control across program artifacts ensuring engineering customer-facing and supply chain documents are accessible current and properly archived.
  • Support onboarding of new program managers into the PMO tooling methodology and reporting cadences.
  • Act as the operational liaison across pillar directors ensuring decisions and dependencies are visible across the organization.
  • Support audit compliance and customer reporting requests by pulling and structuring program data on demand.


REQUIRED SKILLS & EXPERIENCE

  • Bachelors degree in Business Operations Supply Chain Engineering or related field; equivalent operational experience accepted.
  • Minimum of 3 years of operational coordination program support or PMO experience in a high-tempo multi-stakeholder environment (aviation construction logistics manufacturing defense and/or large-scale events Strong fluency in the Microsoft 365 ecosystem (Excel Teams SharePoint Planner Outlook) is required.
  • Hands-on experience with at least one project portfolio tool (Smartsheet Planview MS Project Jira Asana Monday or equivalent) is required.
  • Demonstrated track record of working independently in environments where processes are still being defined; comfort with ambiguity and initiative to standardize.
  • Detail-oriented with strong discipline around documentation version control and structured follow-up.
  • Excellent written and verbal communication skills in English required.
  • Bilingual or trilingual English/Spanish/Portuguese strongly preferred given footprint across the Americas and Iberia.
  • Willingness to travel occasionally to offices and project sites in the U.S. and Latin America as needed.
