Job Summary
Responsible for the coordination implementation and monitoring of administrative systems policies and processes for the Speech-Language Pathology (SLP) Department using efficient effective and orderly operations.
Essential Functions
- Provide administrative support to the Speech-Language Pathology department Chair/Program Director the SLP Director of Clinical Education SLP faculty and Clinical Educators.
- Coordinate program mechanisms and components including student learning and program outcome assessments externship placement sites and placements ASHA accreditation and self-study process Speech-Language Pathology (SLP) advisory committee full time and adjunct faculty and clinical educators.
- Collaborate with SLP alumni to gather and enter data for purposes of tracking and collection for departmental university and accreditation reporting purposes.
- Enter and review data related to the Speech-Language Pathology Departments accreditation process and track program activities based on annual goals and objectives reported to professional accrediting agencies (i.e. ASHAs Council on Academic Accreditation and Higher Education Data System).
- Research and contact vendors for the best quote on program and clinic purchases.
- Prepare pre-purchase authorization forms and enter requested materials in Jenzabar to create a purchase order for the program and the Speech-Language Institute.
- Enter and track faculty and clinical educators travel and annual membership expenses into a budget spreadsheet adhering to the College of Health Sciences Education and Rehabilitation and University fiscal policies and procedures.
- Maintains the CALIPSO database: generating supervisor/student pins entering externship sites and track supervisor credentials and student clearances uploads.
- Compile full time and adjunct faculty course evaluations for distribution and storage.
- Collaborate and compile data from externship supervisors through departmental surveys on student performances.
- Prepare check requests reimbursements deposit sheets and transfer of charges for disbursements to ensure timely payment of authorized invoices confidentially and in a timely manner for the program and the Speech-Language Institute.
- Compile and update letters responses and specific correspondence (i.e. student handbook clinic/externship supervisor handbook(s) externship placement paperwork clinic forms etc. related to the Speech-Language Pathology Department and the College of Health Sciences Education and Rehabilitation.
- Collaborate and interact in a professional manner with those involved in the Speech-Language Pathology Department the College of Health Sciences Education and Rehabilitation and the University.
- Arrange Speech-Language Pathology Department and Advisory Board meetings transcribe meeting minutes distribute and maintain documents for ease of retrieval when needed.
- Assist with coordination of student recruitment activities (i.e. timely correspondence with applicants setting up student interview schedules navigating student campus services preparing for admissions meetings etc.).
- Schedule and coordinate (i.e. new hire meetings program classes and recordings and conference rooms for clinic support groups
- Ensure that SLP and College of Health Sciences Education and Rehabilitation administrators and other relevant University administration are adequately informed of pertinent dates important timetables and administrative department functions.
- Secure Speech-Language Pathology Department equipment and supplies including those for faculty staff and student support.
- Maintains and updates professional and technical knowledge by attending continuing education workshops establishing professional networks and participating in professional societies.
- All other duties and responsibilities as required by the SLP Department.

Required Qualifications
- Minimum of a HS Diploma or GED or the equivalent combination of education and work experience. (Please review the Equivalency Chart for additional information.)
- Minimum of 2 years of experience working in an academic or healthcare environment.
- Proficient computer skills including Microsoft Office (including Excel) and software upgrades.
- Proficient in producing reports minutes announcements and other communications in an attractive and accurate manner.
- Excellent verbal and written skills.
- Excellent customer service skills.
Preferred Qualifications
- Bachelors Degree.
- Experience working with university faculty students Speech-Language Pathology personnel and consumers of Speech-Language Pathology services.
- Excellent time management problem solving and organizational skills.
- Strong decision making problem solving and system organization skills.
- Proficient in producing reports minutes announcements and other communications in an attractive and accurate manner.
- Possess appropriate financial management skills (budget planning and management across various personnel and operational budget categories; generation of monthly quarterly yearly fiscal reports that compare budgeted costs to actual costs.)

Additional Information
This position is classified as Exempt grade I. Compensation for this grade ranges from $45330 - $68000 per year. Please note that the offered rate for this position will vary based on the successful candidates qualifications and experience department budget and an internal equity review.
