Job Summary

The Program Coordinator provides program coordination operational support stakeholder engagement and administrative leadership support for the Office of Rural Health. Working closely with the Director this position supports the planning implementation coordination and evaluation of rural health initiatives designed to strengthen healthcare access quality workforce development and collaboration across Iowa rural communities and hospitals.

In partnership with the Director the Program Coordinator serves as a point of coordination for the Office relationships with Critical Access Hospitals Rural Health Network members healthcare leaders physicians quality teams and external stakeholders. The position coordinates meetings educational programs quality initiatives peer review activities and special projects while ensuring timely follow-through on operational priorities and strategic initiatives.

This role is responsible for maintaining project management systems tracking deliverables coordinating communications supporting executive engagement activities facilitating stakeholder collaboration and ensuring efficient day-to-day operations across the Office of Rural Health portfolio.

The Program Coordinator works independently on a variety of complex assignments while exercising judgment regarding priorities timelines stakeholder needs and operational processes.

This position is eligible forhybridwork within Iowa and will require a work arrangement form to be completed upon the start of your employment. Per policy work arrangements will be reviewed annually and must comply with theremote work program and related policiesandemployee travel policy when working at a remote location.

This position is not eligible for University sponsorship for employment authorization now or in the future.

Key Responsibilities:

Program Operations & Operational Support

  • Coordinate day-to-day activities of the Office of Rural Health and support implementation of departmental priorities.

  • Assist the Director with planning scheduling and execution of rural health initiatives and projects.

  • Maintain project work plans timelines dashboards action-item trackers and implementation schedules.

  • Monitor project progress and ensure timely completion of deliverables follow-up activities and assigned tasks.

  • Prepare reports summaries presentations and briefing materials for Office leadership.

  • Identify operational barriers or process improvement opportunities and provide recommendations.

  • Support strategic initiatives through research project coordination stakeholder engagement and implementation

Rural Health Network Coordination

  • Coordinate operational activities supporting the UI Health Care Rural Health Network.

  • Schedule and coordinate monthly CEO meetings quarterly leadership meetings and other network events.

  • Assist in the development of agendas meeting materials presentations and supporting documentation.

  • Maintain meeting minutes action-item logs and follow-up communications.

  • Coordinate hospital visits and executive engagement activities involving network organizations.

  • Maintain contact databases and communication lists for network executives clinical leaders and hospital staff.

  • Support onboarding and integration activities for future network members.

  • Track network initiatives and provide routine status updates to leadership.

Critical Access Hospital Support

  • Coordinate Critical Access Hospital annual quality reviews and site visits.

  • Schedule meetings and maintain review calendars.

  • Coordinate credentialing review processes and maintain related documentation.

  • Track recommendations findings and follow-up activities resulting from reviews.

  • Maintain communication with hospital contacts regarding scheduling deliverables and required documentation.

  • Support maintenance of shared resources and information repositories.

  • Assist with preparation of reports and summaries for hospital leadership and UI Health Care stakeholders.

Education Quality and Clinical Program Coordination

  • Coordinate rural health educational programming including Grand Rounds webinars conferences and learning sessions.

  • Support Rural Health Network Continuing Medical Education enrollment and participation tracking.

  • Assist in coordinating Project ECHO activities including scheduling invitations participant communications and logistics.

  • Assist with peer review coordination activities and quality improvement initiatives.

  • Support quarterly quality presentations involving network hospitals and clinical partners.

  • Coordinate physician meetings and stakeholder workgroups.

  • Maintain educational records participation data evaluations and program documentation.

  • Assist with development and distribution of educational materials and resources.

Project Management and Administrative Operations

  • Maintain project management tools operational dashboards and department work plans.

  • Track deadlines milestones deliverables and action items across multiple initiatives.

  • Coordinate meeting scheduling logistics room reservations virtual meeting support and event planning.

  • Assist with travel planning and coordination.

  • Process and track invoices purchasing requests reimbursements and related financial activities.

  • Coordinate contract routing and administrative review processes.

  • Maintain organized records files correspondence and documentation.

  • Support procurement and vendor coordination activities

Stakeholder Engagement and Relationship Management

  • Support relationship management activities involving rural hospital executives physician leaders nursing leaders quality leaders and community partners.

  • Coordinate communications and follow-up activities with stakeholders across multiple organizations.

  • Maintain stakeholder databases and engagement records.

  • Assist with planning and coordination of advisory councils steering committees and workgroups.

  • Develop communication materials that support stakeholder engagement and program participation.

  • Serve as an operational liaison between rural partners and Office of Rural Health leadership.

Contract and Funding Support

  • Monitor contracts and procurement timelines.

  • Coordinate collection of information and materials needed for proposals and applications.

  • Track funding opportunities relevant to rural health initiatives.

  • Coordinate meetings and communications related to funding opportunities and proposal development.

  • Support compliance with applicable University contractual and sponsor requirements.

Performance Measurement and Reporting

  • Maintain operational metrics dashboards and performance reports.

  • Collect organize and analyze program data supporting departmental reporting needs.

  • Track participation engagement outcomes and performance indicators.

  • Prepare reports and presentations for internal and external stakeholders.

  • Support continuous quality improvement activities through data collection and follow-up.

Required Qualifications:

  • Bachelor degree in healthcare administration public health business administration communications nursing education or a related field or an equivalent combination of education and experience.

  • One year of experience supporting programs projects healthcare operations or administrative functions.

  • Demonstrated project coordination and organizational skills.

  • Excellent written verbal and interpersonal communication skills.

  • Ability to manage multiple priorities simultaneously while meeting deadlines.

  • Experience coordinating meetings events or stakeholder activities.

  • Proficiency with Microsoft Office applications including Word Excel PowerPoint Outlook and Teams.

  • Demonstrated ability to work independently and collaboratively.

  • Valid driver license and ability to travel throughout Iowa.

  • Demonstrated experience working effectively in a welcoming and respectful workplace environment.

Desired Qualifications:

  • Experience working with healthcare organizations hospitals rural health programs or healthcare administration.

  • Experience supporting executive leaders and complex stakeholder groups.

  • Knowledge of rural healthcare delivery systems and Critical Access Hospitals.
