Job Summary

Overview:

The Enrollment Services Department of ResponsiveEd actively engages with Campuses and Pre-Kindergarten Site Partners to ensure that the student admission process is streamlined and efficient while maintaining State and organizational compliance.

Position Summary:

A PK Enrollment Specialist is responsible for working closely with Pre-Kindergarten Site Partners staff in following processes related to student enrollment withdrawal class scheduling attendance special programs and all other related to State-reporting student activities. Additionally the PK Enrollment Specialist ensures to foster positive work relationships with peers within the Department as well as with other Home Office staff in order to ensure that PEIMS-related data is collected entered maintained and reported in a coordinated manner.

The aim of a PK Enrollment Specialist is to align the outcome of his/her responsibilities and deliverables with the overall mission of the Enrollment Services Team in order to ensure data accuracy and reporting in a timely manner.

Qualifications:

Education/Certification
  • High School Diploma/GED required.
  • Bachelors degree desired.
  • Bilingual desired.

Experience
  • 2 Years in customer support roles.
  • 2 Years experience in data entry record keeping word processing and spreadsheet maintenance.
  • Auditing experience preferred.
  • PEIMS-reporting experience preferred.
  • Google Apps suite knowledge preferred.

Responsibilities and Duties:

  • Process submitted student applications and registration forms for student enrollment inclusive of evaluating eligibility criteria.
  • Communicate with PK partners to assist in the timely resolution of procedural and/or technical issues arising during the student enrollment process.
  • Everything should be installed correctly. Please log in with your RES Microsoft account in the Excel prompt that came up. If you need a password reset for this account let me know and I can do that for you.
  • Prepare / maintain student cumulative record folders according to District and State guidelines.
  • Audit & approve enrollment and transfer enrollment records syncing from the admissions system in the Student Information System.
  • Reactivate student enrollment if returned within 30 days from withdrawal.
  • Add new & delete old enrollment records from future school year when the Academic Year rollover happens each Spring.
  • Search state database (TEAL) for TSDS Enrollment information to verify students based on provided proof of identity.
  • Review provided documentation for proof of residency (Campus ID of Residence) At Risk coding and eligibility determination for Pre-K enrollment.
  • Schedule students in attendance and/or PK-enrollment classes.
  • Process incoming requests for student records for transferred enrollment.
  • Process gathered paper attendance in the Student Information System.
  • Process withdrawal of students from the program by ensuring that Withdrawal Form & Supplemental Documentation meet needed guidelines.
  • Monitor PK Sites calendar and collect applicable Professional Development agendas & Attendance Sign-In Sheets.
  • Communicate with IS PEIMS Assistant and Coordinator when PK Site notifies of unexpected closure delayed start or early release of students as it affects the Sites current school year calendar.
  • Analyze and monitor campus enrollment withdrawal and attendance procedures.
  • Communicate effectively with PK partners with questions arising due to finding duplicate student enrollment excessive absences that may lead to withdrawal from the program attendance and other scheduling-related clarifications.
  • Monitor applicable Special Programs information (ie. EB Homeless Foster Care Military Connected Economically Disadvantaged etc.) coding to ensure accurate reporting of student data and maintenance of the ADA eligibility of students.
  • Run review and sign-off on each 6-week Reporting Period End Reports.
  • Work with IS PEIMS to perform 1st and 4th Six Weeks Roster Reconciliations.
  • Work with IS PEIMS to correct errors and sign-off on 3 PEIMS Submissions (Fall Summer Extended Year) and Other Core Collections (Charter School Waitlist Winter Class Rosters ECDS PK etc.).
  • Maintain immunization records of students within the Student Information System.
  • Process paper Socioeconomic Forms (in the absence of electronically-submitted ones) for accurate Economically Disadvantaged indicator.
  • Assume new responsibilities as needed.

Physical / Environmental Factors:

The physical demands are representative of those that must be met by an employee to Solutionsfully perform the essential functions of this position. This position may require prolonged sitting standing walking and the ability to lift carry push or pull small items up to 50 lbs. unassisted. Other physical demands may include hand and eye coordination manual dexterity visual acuity speech and hearing repetitive motion climbing bending stooping crouching kneeling reaching twisting balancing occasional prolonged or irregular hours and driving to perform essential functions. A valid drivers license and a good driving record will be required. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
