We are seeking a highly organized and resourceful Administrative & Plant Support Coordinator to provide comprehensive administrative human resources accounting and operational support within a manufacturing environment. This role is ideal for a professional who thrives in a fast-paced setting enjoys supporting multiple departments and can effectively manage competing priorities with a high degree of professionalism and confidentiality. The successful candidate will be a self-starter with excellent communication skills strong attention to detail and the ability to work independently with minimal supervision.
- Manage front office operations including answering phones and directing inquiries.
- Process incoming and outgoing mail packages and shipments.
- Order and maintain office supplies and inventory.
- Coordinate meetings employee events site visits and company functions.
- Prepare agendas schedules and meeting logistics.
- Maintain organized office operations and records.
- Assist with employee onboarding and new hire documentation.
- Maintain employee personnel files and HR records.
- Support benefits administration and employee inquiries.
- Review and track weekly timekeeping records for payroll processing.
- Coordinate applicant screenings and interview scheduling.
- Update employee contact information and emergency contact records.
- Assist with union-related administrative activities and employee reimbursement programs.
- Generate operational reports and maintain key production records.
- Support quality management and data entry activities.
- Assist with shipping documentation and outbound order processing.
- Track and report operational data as needed.
- Process invoices check requests and payment documentation.
- Support monthly accounting reporting activities.
- Manage purchasing card transactions and vendor payments.
- Assist with expense reporting and administrative financial processes.
- Coordinate community outreach activities and reporting.
- Serve as a point of contact for community programs and contribution requests.
- Support employee engagement and plant-wide events.
- High School Diploma or equivalent.
- Minimum of 5 years of administrative support experience.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality and professionalism.
- Strong attention to detail and problem-solving skills.
- Proficiency in Microsoft Office Suite (Word Excel PowerPoint and Outlook).
- Ability to work independently and manage multiple priorities in a fast-paced environment.
- Associates or Bachelors degree.
- Human Resources experience.
- Customer service experience.
- Experience supporting manufacturing plant or industrial operations.
- Experience with HRIS payroll ERP or related business systems.
