Job Summary
Are you passionate about helping patients have a positive experience from their very first interaction with a healthcare organization Texas Physical Therapy Specialists a member of the Confluent Health family is looking for a Full Time Patient Scheduling Coordinator to join our team and serve as an important first point of contact for new patients.
In this role you will coordinate new patient appointments for assigned clinics provide exceptional customer service and work closely with clinical teams referring physician offices insurance partners and internal departments to ensure patients are scheduled accurately and efficiently.
The ideal candidate is organized compassionate detail-oriented and comfortable working in a fast-paced healthcare environment. You will play a key role in helping patients navigate the scheduling process while supporting our clinics and ensuring a smooth transition from referral to their first appointment.
After completing paid onsite training in Live Oak TX youll transition to working remotely while remaining part of a supportive and collaborative team. ***(Candidates must be local to San Antonio TX- Live Oak)***

- Pay Rate: $17-$18/ HR
Flexible 8-hour shifts scheduled between7:00 AM-7:00 PM Monday-Thursday:/ Friday: 7:00 AM-4:00 PM

- Manage new patient scheduling for assigned clinics and service areas.
- Answer incoming calls and promptly resolve patient questions and concerns.
- Provide an exceptional patient experience throughout the scheduling process.
- Accurately create and update patient accounts including demographics insurance referrals authorizations and required documentation.
- Schedule new patient evaluations according to clinic guidelines provider availability and scheduling requirements.
- Verify insurance coverage and coordinate authorization PCP referral MVA and other specialized scheduling needs.
- Request follow up on and upload prescriptions/referrals into the appropriate electronic medical record systems.
- Communicate regularly with clinic teams regarding scheduling needs questions and follow-up.
- Document calls patient interactions and follow-up activities accurately.
- Manage voicemails and emails and coordinate with internal departments to resolve patient needs.
- Utilize systems including Voxology Limber and WebPT to support scheduling and patient management.
- Notify referring providers of appointment outcomes and required updates.
- Meet established KPIs quality standards and monthly audit expectations.
- Participate in team huddles one-on-one meetings training and coaching.
- 1 year of medical office scheduling patient access referral coordination or medical call center experience
- Excellent phone communication skills
- Comfortable managing multiple calls while maintaining accuracy
- Strong computer and data entry skills
- High School Diploma or GED
- Must live near Live Oak/San Antonio TX for required training and occasional in-office meetings
