This job requires up to 50% travel throughout the US. Candidates should live within an hour to a major airport.
While we are a remote-first company we are currently only able to hire candidates located in the following U.S. states: CA CO FL GA IL OK OR PA RI TX UT and WA. We hope to expand to additional states in the future.
We are looking for a highly organized and tech-savvy Implementation Specialist to lead the onboarding of clinics onto the Adoreal platform. This role involves project management coordination across internal and clinic teams and hands-on support with software setup workflow digitization data migration and training. You will serve as the primary point of contact for clinics ensuring a seamless and structured implementation process.
Project Management & Coordination
- Serve as the main liaison between Adoreal and the clinic during onboarding.
- Facilitate data migration from the clinics existing systems in collaboration with technical teams.
- Organize and structure clinic data to align with Adoreals analytics framework and standards.
Software Setup and Data Migration
- Support the implementation and configuration of Adoreals EMR and CRM systems.
- Manage project timelines and track key milestones deliverables and dependencies.
- Coordinate efforts across internal teams (technical CRM training) and clinic stakeholders.
- Identify potential risks communicate status updates and resolve issues efficiently.
Training & Support
- Provide training and onboarding support to clinic staff ensuring smooth adoption of systems.
- Develop and deliver onboarding documentation training guides and resource materials.
- Monitor post-go-live adoption and address ongoing support needs.
Candidate Profile
Experience & Background
- Minimum 3 years of experience in healthcare onboarding software implementation or project coordination.
- Hands-on experience with EMR systems and CRM platforms in a healthcare or clinical setting.
- Demonstrated success in managing multiple onboarding or implementation projects.
Skills & Competencies
- Strong project coordination and organizational skills.
- Technical fluency with EMR/CRM systems data migration and digital workflow tools.
- Ability to clearly communicate and guide clinic stakeholders through new system adoption.
- Collaborative adaptable and solutions-focused approach.
Requirements
- Minimum 7 years of experience in healthcare onboarding software implementation or project coordination ideally with a small or growing EMR/EHR company (not enterprise/hospital-system software).
- Hands-on experience implementing and supporting EMR systems and CRM platforms in an ambulatory or outpatient clinical setting (e.g. private practices specialty clinics)
- Demonstrated success independently managing multiple onboarding or implementation projects ideally within a small lean team where you owned the process end-to-end rather than following an established enterprise playbook.
- Deep familiarity with ambulatory healthcare workflows including patient intake documentation payment processing/billing scheduling and HIPAA compliance.
- Experience training clinical and administrative staff in outpatient/ambulatory environments including independently building your own training materials guides or documentation from scratch (not relying on a pre-built corporate training program).
- Ensures implementations align with legal and regulatory requirements especially around data handling and access control.
