Job Summary

We are seeking a Part-Time Executive Assistant to provide administrative and organizational support to a growing mission-driven organization. This individual will work closely with leadership to help manage day-to-day office operations scheduling communications community outreach and special projects.

The ideal candidate is organized dependable professional self-motivated and comfortable working independently. This position requires someone who can manage multiple priorities communicate effectively maintain confidentiality and take initiative when needed.

Responsibilities
  • Provide general administrative and executive support to leadership
  • Manage calendars schedules meetings appointments invitations and RSVPs
  • Answer phone calls and emails respond to inquiries take messages and greet visitors professionally
  • Perform general office duties including filing data entry typing copying scanning mailing and maintaining records
  • Maintain accurate information in computer systems and CRM/database platforms
  • Monitor and organize incoming correspondence and mail
  • Maintain office supplies and assist with ordering as needed
  • Prepare meeting materials reports agendas newsletters and other communications
  • Assist with community outreach marketing social media and organizational communications
  • Help coordinate meetings events projects and other activities
  • Assist with event planning and logistics
  • Support fundraising grant research community partnerships and outreach initiatives
  • Maintain organized contact lists and other administrative records
  • Communicate professionally with leadership board members clients partners vendors and members of the community
  • Maintain confidentiality when handling sensitive information
  • Follow organizational policies and procedures
  • Take on additional administrative responsibilities and special projects as needed


Requirements
  • Previous administrative executive assistant office assistant or related experience preferred
  • Strong organizational and communication skills
  • Proficiency with Microsoft Office including Outlook Word and Excel
  • Comfortable learning new computer systems and software
  • Ability to multitask and prioritize competing responsibilities
  • Strong attention to detail and accuracy
  • Self-motivated and capable of working independently
  • Dependable reliable and professional
  • Ability to follow instructions while also taking initiative
  • Strong interpersonal and customer service skills
  • Ability to maintain confidentiality
