- Provide administrative support to company leadership.
- Assist with dispatch and scheduling coordination.
- Support the Accounts Receivable and Billing departments.
- Assist with Job File administration and project documentation.
- Prepare reports spreadsheets correspondence and other business documents.
- Coordinate meetings calendars and special projects.
- Answer and direct incoming customer calls professionally.
- Maintain accurate information within company software systems.
- Communicate with customers vendors insurance representatives and teammates.
- Help improve office procedures and administrative processes.
- Assist with recruiting onboarding and employee training coordination.
- Support multiple departments based on business needs.
- Perform a variety of administrative operational and project coordination responsibilities that contribute to the success of the organization.
- Step in to assist teammates whenever needed and help create an exceptional customer experience.
- Three or more years of experience in administrative support office management executive assistance operations coordination project coordination or a similar role preferred.
- Excellent organizational and time-management skills.
- Strong communication and customer service abilities.
- Advanced Microsoft Office skills including Outlook Word and Excel.
- The ability to prioritize multiple responsibilities in a fast-paced environment.
- High attention to detail and strong follow-through.
- Professional judgment and the ability to work independently.
- A positive team-first attitude.
- A desire to learn grow and take on increasing responsibility.
