Job Summary The Recruiter / HR Processor is responsible for managing the full recruitment pre-employment and onboarding process ensuring all hiring activities are completed with urgency accuracy and consistency. This role supports hiring managers by sourcing and recruiting qualified candidates coordinating pre-employment requirements and facilitating a seamless onboarding experience for new hires. This role coordinates job-specific onboarding activities including scheduling and tracking drug and alcohol screenings background checks respirator fit testing medical evaluations Safety Council classes client-specific training and other requirements necessary for customer site access. Utilizing systems such as echart Vista Onboarding DISA Houston Area Safety Council (HASC) Industrial Safety Training Council (ISTC) and other Safety Council platforms this position ensures employees successfully complete all compliance requirements before their start date and remain qualified for ongoing assignments. This role serves as a key liaison between candidates employees hiring managers project managers third-party screening vendors safety councils and training providers. The Recruiter / HR Processor maintains confidential employee records monitors onboarding progress communicates status updates and ensures compliance with company policies client requirements and applicable employment regulations. Additionally the Recruiter / HR Processor assists in developing and implementing recruitment and staffing strategies to attract identify and retain qualified craft professionals. Essential Duties & Responsibilities Recruitment & Talent Acquisition Develop and implement sourcing strategies to attract and maintain a pipeline of qualified candidates. Facilitate candidate skills testing and assessments for applicable positions. Collaborate with hiring managers and project managers to understand workforce needs and ensure staffing requirements are met. Employee Onboarding & Pre-Employment Processing Manage the candidate lifecycle from pre-hire through hire ensuring recruitment and onboarding activities are completed with urgency accuracy and consistency. Process new hire paperwork using Vista Onboarding and ensure all required documentation is completed accurately and timely. Schedule coordinate and track employees in the DISA screening system for required pre-employment and ongoing compliance screenings related to drug screens backgrounds and fit testing to meet client-specific compliance requirements Monitor the status of pre-employment requirements and communicate updates to candidates and project managers. Track onboarding progress to ensure all requirements are completed prior to employee start dates. Ensure employees are properly qualified and compliant with customer site access requirements. Safety Training & Compliance Coordination Schedule employees for required Safety Council classes orientation programs and customer-specific training. Maintain records of training certifications credentials and expiration dates. Notify employees and supervisors of upcoming training requirements renewals and compliance deadlines. Ensure compliance with company policies client requirements and applicable federal state and local regulations. Employee Communication & Customer Service Serve as a primary point of contact for applicants and employees throughout the recruitment and onboarding process. Respond promptly to incoming calls emails and inquiries providing guidance and support to ensure a positive candidate and employee experience. Communicate scheduling details appointment information onboarding requirements and status updates clearly and professionally. Provide timely resolution to employee questions related to onboarding compliance and employment processes. Administrative Support Enter update and maintain accurate employee information within Echart and the Vista Onboarding system. Maintain confidentiality of sensitive employee and company information. Qualifications #ois High School Diploma or GED required. Minimum of 5 to 7 years of experience in Human Resources recruiting employee onboarding or administrative support preferred. High level of proficiency with DISA for drug screening background checks and compliance monitoring strongly preferred. Experience coordinating employee enrollment in Safety Council training and site-specific orientation programs preferred. Experience working in industrial manufacturing refinery petrochemical construction or contractor services environments is highly desirable. Knowledge Skills and Abilities Knowledge of employee onboarding recruitment and pre-employment screening processes for craft employees. Strong organizational and time management skills with the ability to prioritize multiple tasks and deadlines. Ability to work effectively in a fast-paced environment while maintaining accuracy and attention to detail. Ability to adapt to changing priorities. Proficient in Microsoft Office Suite including Outlook Excel Word and Teams. Excellent verbal and written communication skills. Strong customer service skills with the ability to provide a positive experience for candidates employees and hiring managers. Strong interpersonal skills with the ability to build and maintain effective working relationships. Ability to work independently and collaboratively as part of a team. Self-motivated with a strong desire to learn improve processes and contribute to organizational success. Ability and willingness to work overtime evenings and weekends to support hiring demands onboarding activities and project schedules. Identify opportunities for process improvements and recommend solutions that enhance efficiency accuracy and service delivery. Physical Demands Prolonged periods of sitting and working at a computer. Ability to communicate effectively in person by phone text and e-mail. Occasional lifting and carrying of office materials weighing up to 20 pounds.
