Position Overview
The Illinois Department of Transportation is seeking to hire an Office Coordinator. The successful candidate willperform technical secretarial office support functions relating to the Bridge operation inspection andmaintenance duties assigned to the section provides clerical support to section staff. This position responds tonumerous telephone inquiries in English and Spanish.
- Performs duties including composing and typing correspondence for the Bridge section and the Operations sections.
- Prints sorts and files all bridge section correspondence; both physical copies and electronic copies.
- Utilizes various computer programs including I-Roads Illinois Highway Information System (IHIS) Structure Information Management System (SIMS) etc. to look up bridge information like structure numbers lengths and other physical characteristics to reply to various enquiries or for entry into reports.
- Receives all Bridge section mail and distributes to appropriate section personnelprioritizing for the Section Chief that mail which requires immediate attention andhandling routine matters with great independence.
- Prepares reports and spreadsheets for various programs including ContractMaintenance Bridge Paint Program Multi-Year Program (MYP) additions etc.
- Serves as the back up to the bureau receptionist and primary receptionist for Spanishspeakers.
- Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
- Requires knowledge skill and mental development equivalent to two years of secretarial/businesscollege or completion of high school and two years of related office experience or two years ofindependent business experience.
- Requires ability to keyboard accurately at 30 WPM.
- Requires ability to speak read and write Spanish at a colloquial level.
- Prefers computer skills which include word processing and spreadsheets.
- Prefers ability to compose and edit letters and reports for proper grammar and clarity as well asensuring all work is done in accordance with IDOT standards.
- Prefers database skills are needed to successfully query data and enter the data into reports.
- Prefers extensive knowledge of office practices procedures and programs.
- Prefers ability to communicate fluently in spoken Spanish using professional and formal language.
- Successful completion of a background screening.
