Were seeking an organized service-focused Office Coordinator to serve as the welcoming face of our Central Office and provide administrative support that helps our teams succeed.

What Youll Do

  • Serve as the first point of contact for visitors guests and incoming calls.
  • Coordinate incoming and outgoing mail packages and courier services.
  • Manage meeting room schedules and internal meeting logistics.
  • Arrange meeting setups catering travel lodging and event details.
  • Support Association-wide meetings events and special projects.
  • Maintain office supply inventories and coordinate purchases.
  • Partner with vendors and internal teams to address facility needs.
  • Provide backup support for Executive Leadership Team and Board Meeting preparations.

What You Need:

  • Education:Minimum of High School Diploma with a combination of equivalent professional experience.
  • Experience:Strong attention to detail and the ability to manage complex workflows.
  • Skills:Excellent communication and organizational skills with theability to maintain confidentiality and manage multiple priorities.

This position is located at our Central Office in Jefferson City Missouri.

This position is classified as Non-Exempt under the Fair Labor Standards Act.

Office Coordination

  • Answers and directs incoming phone calls
  • Greets guests; verifies purpose of visit and logs visitor access; issues and tracks visitor badges.
  • Monitors and reports unusual or suspicious activity.
  • Receives and distributes mail and courier deliveries; prepares outgoing mail and arranges for pickup of courier packages.
  • Delivers mail to Post Office when necessary

Schedules internal meetings and coordinates Central Office meeting room calendars

  • Coordinates group lunches/catering for meetings and training academies; picks up if delivery service is not available
  • Facilitates meeting room set up coordinates refreshments and group meals and other logistics for meetings and training academies
  • Handles reservations for group dinners
  • Assists other department meetings with hotels when held off-site as requested.
  • Coordinates travel and hotel accommodations as requested.
  • Assists the Facilities Manager with coordinating and resolving Central Office facility-related issues.

  • Maintains central supply of standard office items and orders as needed
  • Maintains check disbursement and gift card supply and fulfills branch office requests
  • Updates and posts internal staff resource guide and State Directory to SharePoint site
  • Assists with coordinating vendor services
  • Coordinates stationery orders for Association
  • Reconciles ADMIN charge accounts

Assistant to Executive Assistant

  • Serves as back-up to Executive Assistant
  • Assists with coordinating executive leadership and Board of Directors meeting room set up refreshments and meals
  • Drafts correspondence and presentations as requested.

Minimum Qualifications

  • High School Diploma
  • Associates degree in business finance or related field is preferred
  • 1 year of experience providing customer service or office support
  • Or an equivalent combination of education and experience sufficient to perform the essential functions of the job

Required Knowledge and Skills

  • Skill in planning and coordinating various aspects of meetings or events
  • Skill in prioritizing multiple tasks and managing deadlines accordingly
  • Professionalism proactive thinking problem-solving independence and service quality is required
  • Proficient knowledge of Word Excel PowerPoint and Outlook sufficient to create update and save a variety of documents
  • Skill in gathering and organizing information
  • Skill in utilizing time in an efficient and effective manner
  • Skill in focusing and concentrating on details
  • Skill in establishing and maintaining cooperative working relationships with coworkers
  • Verbal and written communication skills sufficient to exchange information effectively with peers and supervisor

  • Skill in listening and conveying awareness of a customers problem or issue to find resolution
