The ideal candidate is a dependable problem solver with strong communication skills excellent attention to detail and the ability to manage multiple priorities in a fast-paced office setting.
The Office Assistant will play a key role in supporting company leadership coordinating administrative functions maintaining office organization and assisting with employee engagement activities. This individual should be comfortable working independently while also collaborating closely with team members across the organization.
This is an onsite role at our office in Fairfax VA.
Objectives of this Role
Serve as a central point of contact for office operations by providing information answering questions and responding to employee and visitor requests
Support efficient office workflow by assisting with scheduling communications office coordination and administrative processes
Coordinate internal and external resources to support business operations purchasing activities and office needs
Help maintain a positive organized and professional office environment that supports employee productivity and engagement
Provide day-to-day administrative and operational support to leadership and office staff
Responsibilities
Support executive leadership with administrative and organizational responsibilities related to office operations facilities coordination staff support and company events
Serve as a liaison for the Virginia office staff to help foster a collaborative energetic and professional workplace culture
Manage incoming and outgoing mail packages shipments office supplies and general office organization
Maintain a clean organized and functional office environment including common areas and conference rooms
Provide administrative support to senior leaders including email correspondence document preparation and distribution of memos and letters
Plan organize and schedule company meetings including in-office off-site and virtual meetings
Maintain building access records and coordinate with property management regarding office and facility needs
Assist with office events and employee engagement activities
Support special projects and additional administrative duties as assigned
Requirements
Required Skills and Qualifications
Previous administrative office support or office coordination experience required
Experience supporting company leadership and handling sensitive or confidential information professionally
Excellent written and verbal communication skills
Strong organizational time-management and multitasking abilities
High attention to detail and ability to prioritize competing responsibilities
Proficiency with Microsoft Office Suite and common office technology
Positive attitude professionalism and strong interpersonal skills
Preferred Qualifications
Experience working in a fast-paced professional services or government contracting environment
Experience coordinating meetings and office events
Familiarity with office facilities coordination and vendor management
Ability to work independently while supporting a collaborative team environment
