Job Summary
Position Summary
The Office Administrator provides comprehensive administrative and operational support to the facility serving as a key resource for office operations vendor coordination purchasing employee engagement safety administration and support of site leadership. This role partners closely with Human Resources Operations Safety Finance and other departments to ensure efficient daily facility operations and a positive employee and visitor experience.
Essential Duties and Responsibilities
Administrative & Office Operations
- Manage daily office operations including mail records management filing document processing and general administrative support.
- Provide administrative support to site leadership and department managers.
- Coordinate meetings conference rooms calendars visitor activities and office communications.
- Maintain organized electronic and physical records in accordance with company requirements.
Purchasing Invoices & Vendor Support
- Process invoices and route approvals in accordance with company procedures.
- Maintain vendor records and coordinate services with external providers.
- Order and maintain office breakroom and facility supplies.
- Assist with purchasing activities deliveries and inventory management.
Human Resources & Employee Support
- Support new hire onboarding activities including document coordination badge preparation workspace setup and new hire arrangements.
- Assist with employee engagement initiatives recognition programs and company events.
- Coordinate employee programs such as safety shoe ordering training schedules and other administrative processes.
- Maintain confidentiality of employee information.
Safety & Compliance Support
- Coordinate safety meetings training schedules documentation and recordkeeping.
- Assist with safety inspections hazard tracking and maintaining safety records.
- Support visitor safety compliance and PPE inventory management.
Employee Engagement & Events
- Support the Employee Engagement Committee and assist with planning employee activities and events.
- Coordinate event logistics including communications supplies catering and materials.
Travel & Special Projects
- Coordinate business travel arrangements including flights hotels rental vehicles and visitor travel.
- Assist with expense-related documentation and administrative tasks.
- Support special projects and provide backup administrative support across departments as needed.
Qualifications
Education & Experience
- High school diploma or equivalent required; associate degree in Business Administration or related field preferred.
- Three or more years of administrative office management or related experience preferred.
- Experience supporting multiple departments in a manufacturing or industrial environment preferred.
Knowledge Skills & Abilities
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills.
- Strong attention to detail and problem-solving abilities.
- Ability to maintain confidentiality and exercise sound judgment.
- Strong customer service and interpersonal skills.
- Proficiency with Microsoft Office Suite including Outlook Word Excel PowerPoint and Teams.
- Ability to learn company-specific systems and processes.
Physical Requirements & Work Environment
- Ability to sit stand and walk throughout the workday.
- Ability to occasionally lift or move items up to 25 pounds.
- Ability to work in both an office and manufacturing environment.
- Ability to enter production areas while following required PPE and safety requirements.
Mustbe authorized towork in the US without company sponsorship now or in the future.
The estimated annual salary range for this role is $24 - 30.00 (hourly). Pleasenotethe salary information shown above is a general guideline only. Starting salary will vary by location qualifications and prior experience
