This position provides administrative support in the agencys critical business area of Member Services which is managed by the Director of Member Services.

Main Purpose of Job
he Member Services Administrative Assistant is an essential employee that is integral to the efficient operations of the Maryland State Employees Supplemental Retirement Plans (MSRP). This position provides administrative support in the agencys critical business area of Member Services which is managed by the Director of Member Services. This positions responsibilities include (but are not limited to) the following: serving as a liaison to State benefit and retirement coordinators; creating webinar announcements and other communications to State benefit and retirement coordinators; preparing and updating the Member Services Policy and Procedure Manual; compiling data preparing and maintaining a variety of statistical reports; posting webinar updates and other pertinent information on the MSRP website; serving as MSRPs official Timekeeper in Workday; preparing organizing and distributing PowerPoint webinars and workshop presentations; and serving as a liaison to the Plan Administrator; provides all aspects of primary administrative support for the Director of Member Services.
POSITION DUTIES
- Provides primary administration and support for the Director ofMember Services and Member Services staff.
- Create and assist in the creation of educational webinars andseminars.
- Prepares organizes and distributes PowerPoint webinars andworkshop presentations.
- Proofread and edit presentations and other documents for propergrammar structure and punctuation.
- Coordinates the scheduling of guest speakers for webinars andseminars. Ensures that updated bios for all speakers are received in atimely manner.
- Creates and manages monthly webinar Google registration forms andreviews webinar survey responses regularly for participant feedback.
- Serves as a liaison to State benefit and retirement coordinators thePlan Administrator (Empower) and the agency liaison.
- Maintains an up-to-date database of State benefit coordinators andoversees Education Specialist Field schedule database.
- Manages front office staff calendar to ensure proper coverage foroffice and telephone coverage and the field staff calendar.
- Oversee and coordinate the organization of Member Services emailsfolders and files.
- Creates webinar announcements and other communications to Statebenefit and retirement coordinators and employees
- Maintains a master schedule of the various seminars and workshops.
- Post webinar updates and other pertinent information on the MSRPwebsite and LinkedIn.
- Attend monthly strategy team meetings (virtually or in house) andadditional meetings as often as needed.
- Attend all Board Meetings.
- Stay up to date on financial topics through researching articlesviewing webinars and sharing information at team meetings(Kiplinger Plan Sponsor The Balance etc.).
- Conduct research on various current and/or relevant topics that willpotentially be incorporated into MSRP educational webinars andseminars.
- Prepares updates and maintains the Member Services Policy andProcedure Manual.
- Compiles data prepares and maintains a variety of statisticalreports.
- Serves as MSRPs official Timekeeper in Workday.
- Provides primary coverage of main local and toll-free agencytelephone calls takes routed calls accepts messages or redirects callsto appropriate staff. Retrieves opens and distributes incoming mail.
- Fulfills requests for printed material and supplies of informationalpackages and performance reports.
- Works on various special projects as assigned.
MINIMUM QUALIFICATIONS
Education: Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience: One year of administrative staff or professional work.
Notes:
1. Candidates may substitute 30 college credit hours from an accredited college or university for the required experience.
2. Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work that included regular use of independent judgment and analysis in applying and interpreting complex administrative plans policies rules or regulations or analysis of operational programs or procedures with recommendations for improvement on a year-for-year basis for the required experience.
DESIRED OR PREFERRED QUALIFICATIONS
- One year experience creating and managing complex databases.
- One year experience using Microsoft Office and Google Suite.
- One year experience researching and interpreting laws regulations and policies.
LICENSES REGISTRATIONS AND CERTIFICATIONS
Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operators license valid in the State of Maryland.
