In this role you will work under limited supervision utilizing the knowledge and skills gained through your education and experience to coordinate and support the successful execution of marketing and communications projects. You will manage day-to-day project activities including project intake planning scheduling documentation stakeholder coordination and delivery. You will perform entry- to intermediate-level project management analysis and administrative tasks working within established processes and best practices to keep projects organized on track and moving forward.

While general guidelines will be provided you will also have some responsibility for independent decision-making.

Your duties will include partnering with account managers creative teams and other internal stakeholders to clarify project requirements coordinate deliverables communicate progress and address routine project questions or issues.

Job Description

Responsibilities:

  • Coordinates project intake gathering and clarifying requirements and ensuring necessary information is available to initiate work.
  • Supports execution of established marketing plans through effective internal (agency) and external (client) communications and project coordination.
  • Coordinates day-to-day project workflow across account managers clients creative teams and other stakeholders facilitating handoffs reviews approvals and delivery while communicating project status changes decisions and next steps.
  • Monitors project timelines and requirements identifying potential issues or risks and working within established processes to recommend adjustments or escalate concerns when appropriate.
  • Coordinates the creation and production of marketing and communications materials (including copy layout Web design and/or audio/visual material) through the internal marketing agency ensuring work aligns with project objectives and requirements.
  • Provides basic project consulting to account managers and clients in order to resolve immediate questions and/or requests.
  • Assists with the preparation of project scopes estimates schedules and other project documentation for assigned projects.
  • May coordinate the organization maintenance and updating of the client investment products department offerings and service information on the organizations intranet system.
  • Contributes to the development of tutorials best practices and documentation for internal/departmental and/or external/client reference.
  • Conducts basic marketing research and compiles project results and insights as assigned.
  • May work with account managers and/or clients to review and test marketing deliverables against the project objectives ensuring accuracy and brand consistency.
  • Assists marketing leadership with special projects related to timely business needs.
  • Performs other duties and responsibilities as assigned.

Skills:

  • Principles and practices of customer relations marketing and communications.
  • Basic concepts practices and principles of project management methodology including project management analysis administration and documentation.
  • Organizing and prioritizing multiple tasks and projects communicating progress and changes and managing timelines scope estimates and budget considerations to support on-time on-budget delivery.
  • Creating and maintaining project plans schedules documentation and communications; tracking work through completion and proactively communicating changes or potential delays.
  • Working effectively across account creative client and other cross-functional teams to coordinate project activities and deliverables.
  • Identifying project issues or changing requirements and applying established processes to determine appropriate next steps seeking guidance or escalating when appropriate.
  • Adapting to changing priorities and project requirements while maintaining organization accuracy and attention to detail.
  • Communicating clearly and informatively editing work for spelling and grammar and presenting numerical data effectively; strong writing and analytical skills.
  • Fundamental investment concepts practices and procedures used in the securities industry.
  • Demonstrating accuracy and thoroughness while applying feedback to improve performance.
  • Completing tasks on time or notifying the appropriate stakeholder with an alternate plan.
  • Collecting researching and analyzing data.
  • Exercising judgment and self-direction to independently complete projects and tasks.
  • Operating standard office equipment and using required software including word processing spreadsheet graphics database and internet reference service applications.
  • Conducting research using the Internet and other resources compiling results and preparing reports.

The total compensation for this position includes base salary or wages and may include components such as additional compensation (cash or equity) discretionary bonuses or commissions.
