Overview

• Provides operations functions in a legal office/environment including high-volume copying scanning mail processing shipping and receiving document production filing and customer support.

• Operates high-volume duplicating equipment performs copying tasks operates high-volume document scanning equipment and operates high-volume mail processing equipment.

• Ships and receives products and supplies; sorts distributes and handles incoming and outgoing mail/faxes and applies necessary postage.

• Provides copier maintenance and/or repair support for customer-site equipment.

• May perform entry-level duties in bindery QC and final check housekeeping file services call center support or other related areas.

• Reports directly to the Site Manager Site Supervisor or Assistant Site Manager depending on site personnel configuration.

• Handles highly sensitive confidential and time-sensitive documents and projects in a legal environment.

• Provides high-quality and accurate work due to the sensitive nature of legal documents and projects.

• Run high-volume copy machines and perform binding and finishing work.

• Operate high-volume scanners and image-handling software.

• Operate MS Office and email systems.

• Ensure convenience copiers are working properly and perform daily quality inspections.

• Clear paper jams and inform technicians of specific equipment problems.

• Maintain records for management reports and inventories of required supplies.

• Distribute office supplies fax transmissions and mail to company personnel and/or designated drop-off points.

• Calculate charges for jobs performed and maintain billing logs.

• Respond to and coordinate all required customer service calls.

• Perform filing duties based on specific customer requests including purging and archiving old documents.

• Deliver completed jobs to predetermined customer locations within and outside the site.

• Maintain daily meter and service logs.

• May travel between customer buildings.

• Answer customer questions regarding job status or the feasibility of job requests.

• Keep convenience copier areas neat and well stocked.

• Perform shipping and receiving duties for materials products supplies and packages.

• Use shrink-wrap machines paper cutters hole drills bindery equipment joggers tape machines stackers electric staplers and scales to complete various jobs.

• Use copier equipment calculators fax machines postage meters and PCs.

• Perform scanning file conversion and file naming.

• Perform FTP (File Transfer Protocol) between computers and files for printing and CS/DVD.

• Manage TOC (Table of Contents) as the first page of electronic files.

• Perform OCR (Optical Character Recognition) functions to assist with keyword searches.

• Perform file formatting for printing and Excel files.

• Assist with coordinating projects that will be completed offsite including BIS or Smart Source.

• Process print copy scan and document production requests.

• Support legal document preparation
