Job Description 

KIPP Chicago seeks an experienced individual for the position of Office Manager (OM). The OM will be the face of the school and deliver first-class customer service to all constituents in the building including students parents staff and guests. The OMs primary responsibilities are to operate a welcoming and efficient main office to coordinate student enrollment and attendance and to provide daily support to teachers and the schools leadership team. This is a full-time in-person position (50 hours a week). The OM will report to the School Operations Leader/Director of Operations. Regular and dependable on-site attendance is essential to fulfilling the responsibilities of this role.

DUTIES & RESPONSIBILITIES

  • Coordinate new student enrollment: canvas and recruit students process incoming applications send acceptance/waitlist letters manage waitlist provide tours and assist parents with online enrollment

  • Oversee student attendance: make daily attendance phone calls to absent students process late arrivals communicate with teachers and school leadership re: student absences call families of absent students ensure attendance is accurately logged in PowerSchool and Aspen student information systems each day and process early dismissals

  • Create a neat welcoming and organized office environment

  • Welcome parents and visitors maintain visitor logs and respond to visitor & parent requests

  • Ensure all visitors are accounted for in the building

  • Answer phones redirect inquiries as appropriate and relay messages to staff in a timely manner

  • Active role in arrival and dismissal

  • Maintain teacher work room and ensure that copiers/printers are in working order

  • Maintain school supply closet and assist with inventory control

  • Process and fulfill staff supply requests

  • Receive distribute and prepare incoming/outgoing mail and shipments

  • Assist with coordination of school events

  • Assist with production and distribution of memos & newsletters

  • Maintain complete sets of all parent and staff forms

  • Maintain student cumulative records (files) including auditing student files at least 2xs a year

  • Order and distribute school uniforms and assist with inventory control

  • Coordinate student health services: monitor student health and safety for any unusual/troubling trends coordinate with site nurse to ensure that students receive appropriate care

  • Other duties identified by the School Operations Leader/Director of Operations


Qualifications :

QUALIFICATIONS

  • At least two years of college BA preferred

  • A minimum of two years administrative experience (experience in a school setting preferred)

  • Excellent oral and written communication skills

  • (For Bilingual OM Role) Oral and written fluency in Spanish as well as English 

  • Excellent organizational skills and detail orientation

  • Strong typing and technology skills specifically with Microsoft Office and Google Drive

  • Evidence of strong interpersonal skills

  • Evidence of personal initiative and follow through

  • Frequently standing or walking and using stairs to move throughout school building; ability to lift  / carry up to 20 lbs when necessary to support school procurement. 

  • Demonstrated passion for and commitment to the KIPP mission

  • A cleared CPS Background check before start of employment and within employment term (required)
