HR MANAGER JOB SCOPE

Position: Human Resources Manager

Location: West Palm Beach

THE ROLE

The HR Manager is the primary on-site HR leader at BIBA responsible for running the people function across the Club hotel dining and events teams. Corporate provides the systems frameworks and infrastructure; this role owns their implementation and day-to-day operation on property from opening through daily operations.

This is a hands-on leadership role for an experienced HR professional who can bring structure to a new property operate with autonomy day to day and serve as a trusted resource to leadership and employees alike. The role owns BIBAs on-site HR operations employee experience benefits payroll employee relations compliance and people processes in close partnership with the Managing Director department heads and corporate HR.

KEY RESPONSIBILITIES

HR Operations & Compliance

  • Own BIBAs day-to-day HR operations and records on property maintaining accurate employee files HRIS records and required reporting in the corporate systems.
  • Maintain and update on-site HR policies procedures and employee communications as BIBA evolves in alignment with corporate HR frameworks.
  • Keep on-site practices compliant with federal Florida and local employment law including the pre-opening foundation (I-9/E-Verify required postings personnel-file structure) and hospitality wage-and-hour: tipped-wage and tip-credit rules service-charge and gratuity handling overtime and any minor-labor requirements.
  • Administer leave and accommodations including FMLA ADA interactive process and other protected leave.
  • Own HR administration related to workplace safety including injury reporting OSHA recordkeeping and workers compensation claims in partnership with Operations.
  • Escalate to corporate HR on policy systems and complex compliance matters.

Pre-opening & Property Build

  • Implement BIBAs people infrastructure on site: handbook policies procedures and onboarding built on corporates frameworks and tailored to the property.
  • Run recruiting and onboarding for a full-property opening including high-volume hiring orientation waves and mass onboarding on a compressed timeline.
  • Partner with the Managing Director and department heads on staffing plans headcount org structure and labor budgets through ramp-up.

Recruiting Onboarding & Offboarding

  • Partner with department leaders on hiring needs job scopes sourcing and candidate selection.
  • Own the full employee lifecycle on site from offer through onboarding maintaining onboarding materials checklists and required new-hire training so every employee gets a clear organized introduction to BIBA their role and the standards.
  • Manage offboarding: terminations Florida final-pay timing unemployment claims and exit interviews.
  • Track work authorization and coordinate with leadership on any visa or foreign-national needs tied to the Global MayaBay partnership and visiting chefs.

Employee Relations & Performance

  • Serve as the primary HR resource for employee questions concerns and workplace matters.
  • Partner with department leaders on performance management coaching documentation and corrective action handled consistently fairly and confidentially.
  • Support managers in setting clear expectations and addressing performance issues effectively.
  • Conduct or oversee workplace investigations with sound judgment and escalate significant or sensitive matters to the Managing Director and corporate HR when appropriate.

Benefits & Payroll

  • Own on-site benefits and payroll administration: enrollment changes deductions timekeeping and processing as the primary point of contact for employee questions.
  • Coordinate with corporate brokers and providers to keep programs administered accurately and support renewal with property-level data and employee feedback.

Employee Experience & Culture

  • Help protect and evolve the culture BIBA is building in a members club where staff are part of the experience.
  • Administer and reinforce BIBAs service culture grooming and appearance standards and member-confidentiality expectations through onboarding and ongoing training.
  • Lead staff appreciation recognition and engagement on the floor and partner with leadership on internal communication and development.

WHAT SUCCESS LOOKS LIKE

  • BIBA opens fully staffed with recruiting and onboarding that reflect the standards of the property.
  • Corporate systems and frameworks are implemented and run well on site with records benefits payroll and policies accurate and audit-ready.
  • Employees know where to go for support and get clear timely answers.
  • Managers feel equipped to handle employee matters and performance and disciplinary processes are consistent and professional.
  • Employees feel informed supported recognized and proud to be part of BIBA.

QUALIFICATIONS

  • 5 years of progressive HR experience ideally in hospitality hotels private clubs or restaurants; pre-opening experience strongly preferred.
  • Proven experience running a broad HR function on property ideally with corporate support.
  • Strong background in employee relations high-volume recruiting and onboarding benefits and payroll administration compliance and performance management with a command of hospitality wage-and-hour and Florida-specific practices.
  • Multi-department or multi-outlet hospitality operations strongly preferred.
  • Discreet with confidential matters and calm approachable and solutions-oriented while working autonomously alongside leadership and corporate.
  • HR certification (PHR SPHR or SHRM-CP/SCP) and a college degree in any field is a plus. Fluent verbal and written English; French a plus.
