Position Summary: The Human Resource Assistant will perform administrative tasks and services to support effective and efficient operations of the organizations Division of Human Resources.
The incumbent is responsible for providing administrative and secretarial support for the Director of Human Resources including but not limited to maintaining personnel records scheduling updating the HRIS systems preparing and assembling various documents assisting with employee engagement activities and typing various minutes and reports.

ESSENTIAL FUNCTIONS:

  1. Maintains accurate and up-to-date human resource files records and documentation.

  2. Maintains the integrity and confidentiality of human resource information files and records.

  3. Performs periodic audits of HR files and records to ensure that all required documents are collected filed appropriately and in compliance with the Records Retention Policy.

  4. Schedules interviews benefit enrollments trainings and various other meetings as directed and within applicable timeframes.

  5. Enters and updates employee information through various web-based HRIS platforms.

  6. Prints and assembles new hire and orientation materials and documents.

  7. Prepares the monthly calendars and quarterly newsletter as directed.

  8. Assists with planning and execution of special events such as benefits enrollment organization-wide meetings employee engagement events fundraising campaigns and employee celebrations/support.

  9. Provides various clerical support to the Division of Human Resources including but not limited to typing minutes reports and other correspondence. Proofreads for clarity punctuation grammar spelling capitalization and typographical errors.

  10. Serves as back-up to the Receptionist position as necessary.

  11. Ensures compliance with all applicable policies and procedures of the Springfield Housing Authority.

  12. Maintains regular and reliable attendance.

  13. Contributes to team efforts by performing other duties and responsibilities as required or assigned.

education and experience:

  • Associates degree in human resources business management or business administration from an accredited college or university; and

  • Two (2) years of experience in a professional clerical or administrative assistant position; or

  • any equivalent combination of education work experience or training that provides the necessary knowledge skills and abilities.



KNOWLEDGE SKILLS AND ABILITIES:

  • Knowledge of federal state local public sector and housing authority HR processes procedures policies and regulations.

  • Knowledge of occupational hazards and applicable precautionary measures.

  • Skill in scheduling planning and following-up as necessary.

  • Skill in the proficient use of office equipment computers and software

  • Skill in taking dictation transcribing notes and typing 40 WPM with accuracy

  • Skill in maintaining accurate and complete complex HR records documentation and reports.

  • Ability to work independently in an organized thorough detailed accurate and efficient manner.

  • Ability to communicate (oral and written) and interact with diverse individuals (public outside agencies/vendors and co-workers) in a courteous confidential effective positive professional and ethical manner.

  • Ability to maintain a valid Illinois drivers license and be an insurable SHA driver.
