The Role

We are looking for a seasoned highly organized administrative professional to be the right hand to our Business Operations Manager. You will own the administrative and coordination work that keeps a remote leadership team running: executive calendars meeting agendas and follow-ups recruiting coordination and the recurring operational tasks that have to happen on time every week and month.

This is a tightly scoped part-time role built for someone who has already had a full career in executive support HR administration or business operations and now wants meaningful work on a predictable part-time schedule. You will work from a defined task sheet of recurring and one-time responsibilities and within that scope we need someone who takes it and owns it.

Schedule: up to 15 hours per week within a defined availability window of Monday to Friday 12:00 PM to 3:00 PM CST. New hires begin at approximately 10 hours per week during a 60 to 90 day trial period and ramp up based on performance.

You will report directly to our Business Operations Manager who leads People Operations Talent Acquisition and cross-functional business operations for HBI. You will work closely with our COO and department leads across Customer Success Marketing Finance and Technology and you will be a trusted point of contact for candidates contractors and team members.

What Youll Own

  • Executive Calendar & Meeting Operations

  • Manage the Business Operations Managers calendar and coordinate scheduling for leadership meetings and candidate interviews

  • Build and distribute executive meeting agendas; track action items and ensure open items roll over to the next meeting

  • Maintain the company meeting cadence sheet and keep recurring meetings accurate and current

  • Recruiting Coordination

  • Schedule phone screens and interviews across candidates hiring managers and leadership including debrief buffer time

  • Keep the candidate pipeline organized and up to date; send confirmations reminders and follow-ups

  • Prepare interview logistics and materials so hiring managers walk in ready

  • HR & People Operations Administration

  • Support onboarding and offboarding logistics (accounts documents checklists welcome and exit coordination)

  • Maintain employee and contractor records and tracking sheets including contract dates tax forms and renewal reminders

  • Keep HR documentation templates and process docs organized and current

  • Recurring Business Operations Tasks

  • Execute a defined set of weekly and monthly tasks on schedule without prompting

  • Provide basic administrative support: document formatting spreadsheet upkeep vendor and contractor coordination expense and invoice tracking

  • Flag issues blockers and items needing a decision before they become urgent

Requirements

Required

  • 5 years of professional experience in executive administration HR administration or coordination or office and business operations

  • A track record of owning a calendar a meeting cadence or an administrative process end to end

  • Strong written communication and the ability to keep multiple people and timelines organized

  • Proficiency with Google Workspace Slack and spreadsheets and the ability to pick up new tools quickly

  • Reliable availability during the defined Central Time schedule

  • The ability to pass a background check

Nice to Have

  • HR assistant or HR generalist experience is a plus

  • Recruiting coordination or applicant tracking system experience is a plus

  • Experience supporting a remote or e-commerce company is a plus
