Job Title: HR Assistant

Reports to: HR Manager

Location: San Marcos Texas

About this role

The Human Resources Assistant provides administrative and operational support across multiple HR functions including recruiting coordination onboarding support training administration and general HR operations. This role is critical in ensuring timely candidate communication efficient interview scheduling and accurate maintenance of training records and HR documentation.

What Youll Be Doing:

Learning & Development Support

Assisting the Training & Development Coordinator in maintaining training matrices and records.

Ensuring training documentation is accurate current and properly filed. Supporting the administration and tracking of employee training programs. Assisting with audit readiness related to training compliance.

General HR Support

Providing administrative support to the HR Manager as needed.

Assisting with onboarding processes including new hire paperwork and orientation coordination.

Maintaining employee files and ensuring compliance with company policies and legal requirements.

Supporting HR initiatives projects and reporting as assigned.

Performing other duties as assigned to support the needs of the business.

Compliance & Recordkeeping

Maintaining confidentiality of sensitive employee and candidate information at all times.

Ensuring accurate documentation and adherence to HR policies and procedures. Supporting compliance with federal state and company regulations.

Office Administration Coverage

Serving as backup for the Office Administrator during absences.

Checking in visitors professionally and managing guest access.

Organizing conference room schedules and ensuring availability for meetings. Ordering lunch or catering for team meetings or events as needed. Assisting with general office coordination and administrative tasks.

Employee Programs & Culture

Assist with planning employee engagement activities recognition events and other culture building initiatives.

We are Looking for Someone Who:

Has a High school diploma or equivalent required; Associates or Bachelors degree in Human Resources or related field preferred.

Possesses 13 years of administrative or HR support experience preferred. Has strong organizational skills with the ability to manage multiple priorities and deadlines.

Can demonstrate excellent verbal and written communication skills. Is proficient in Microsoft Office (Word Excel Outlook).

Is able handle sensitive information with discretion and professionalism

Additionally:

Experienced with supporting recruitment or scheduling in a fast-paced environment. Familiar with HRIS ATS or training management systems.

Strong attention to detail and accuracy.

Strong time management and prioritization skills.

Professional communication and interpersonal skills.

Comfortable working independently and as part of a team.

Able to adapt and willing to support multiple HR functions.

Physical Requirements:

Prolonged periods sitting at a desk phone use and working on a computer. Must be able to lift/move up to 15 pounds at times.
