About this Opportunity

The UW Medicine Human Resources Projects and Reporting department is a shared services organization that supports all of UW Medicine Health System (UWMHS) including Harborview Medical Center (HMC) UW Medical Center-Montlake Campus (UWMC-Montlake) UW Medical Center-Northwest Campus (UWMC-NW) UW Medicine Primary Care (UWMPC) Faculty Practice Plan Svcs (FPPS) Airlift Northwest (ALNW) and UW Medicine Shared Services. The team is tasked with managing HR-related projects large and small from enterprise-wide initiatives like annual performance evaluations to individual department projects and process improvement efforts and ensuring each project is carefully planned and executed. The team is also responsible for compiling and analyzing a wide range of HR data to produce standing and ad hoc reports on HR metrics such as turnover rates vacancy rates employee performance employee engagement and to develop key performance indicators (KPIs) to measure progress and outcomes for HR-related initiatives. They ensure that regular reports are shared with HR leaders UWM operational leaders and other relevant stakeholders providing insights into the general health of the workforce and helping to inform decision-making. Additionally they continuously look for opportunities to develop and implement new more efficient ways of delivering HR data to the business.

Under the general direction of the Associate Director for Projects and Reporting the Analyst will partner with HR team members to provide a structured foundation to effectively and efficiently manage incoming and active projects within the project portfolio through the use of re-usable standards and streamlined processes including needs assessments project scoping development of work plans in appropriate level of detail for the project size. The Analyst is responsible for working with HR Directors HR staff and customers to ensure that the solutions implemented by HR consistently meet the needs of our customers. The Analyst is a driver behind UW Medicine HRs continued growth and success in becoming the employer of choice; with our commitment to continuous process improvement the Analyst will help implement strategic initiatives for improved efficiency and productivity.

Key Responsibilities

HR Project Analyst 50%

  • Works with HR leaders business owners and other clients to define and document business cases for HR project requests including clear definition of business needs alignment to strategic objectives benefits and KPIs.
  • Assists in facilitating scoping and requirements sessions with stakeholders.
  • Performs requirements analysis and verification to ensure that requirement statements are complete consistent concise comprehensible traceable feasible unambiguous and verifiable.
  • Manages requirements traceability information and tracks requirements status throughout the project.
  • Identifies documents and tracks issues through to resolution.
  • Effectively escalates identified issues and risks to supervisor as needed.
  • Drafts communications and status updates to be shared with leadership customers and business stakeholders.
  • Supports development of testing scope and test cases; assists with executing unit end-to-end and user acceptance testing.
  • Assists with impact analysis when project change requests are initiated.
  • Documents projects and process improvement efforts (via workflow diagraming gap analysis etc.) selecting appropriate documentation methods for complexity of the project and the target audience.
  • Establishes credibility and builds trusting relationships with business owners customers and leadership.
  • Effectively uses tools templates standards and reports to support HR Analyst functions.
  • Participates in feasibility studies vendor selections and proposals for evaluation by appropriate key stakeholders.

Workday Performance Evaluation SME 45% - will flex depending on business need

  • Acting as an escalated point of contact for Workday Performance Evaluation issues and inquiries provide advanced consultative expertise to support the UWMHS and SOM managers and staff using the performance evaluation functionality.
  • Provides Performance Management technical support responsible for pre-launch data review/updates including supervisory org and security role updates and process management/customer support during open review window.
  • Consults on proposed organizational structure changes requested to support performance evaluation functionality; verify approve and execute changes to organizational structure and related data (i.e. security assignments) as reflected in Workday.
  • Delivers training and communications re: Workday Performance Evaluations to managers and staff.
  • Effectively use and maintain collaboration tools (SharePoint Teams sites) used in annual Performance Evaluation projects.
  • Identifies process improvement opportunities to deliver enhanced customer services to the organization. Identify and develop relevant content for organization-specific training and development that may be added to the working repository of knowledge content.
  • Has proficient knowledge of policy procedure and Workday Performance Evaluation fundamentals to complete routine audits of the system.
  • Effectively escalates issues to supervisor when normal business practices are not successful in resolving or as otherwise needed.

Bachelors Degree in a technology field a business-related field or similar.

2 years of progressive HR Analyst or Project Management experience including:

  • Executing progressively more complex business analysis including scope definition requirements gathering business process re-engineering etc.
  • Defining and translating users requests into effective functional/non-functional and technical specifications and documentation.
  • Taking personal responsibility for meeting customer commitments and correcting customer problems.
  • Demonstrated ability to support and participate in cross-functional cross organizational work groups to implement projects or organizational changes.
  • Experience developing traceability matrices from requirements and assisting with user testing of a software solution.
  • Collecting compiling and analyzing quantitative and qualitative data.

Additional Qualifications

  • HR Systems & Technical Skills - Proficiency in the specific tools used by UW Medicine HR Analysts: Microsoft Office Suite (Word PowerPoint Outlook Visio and Advanced Excel (formulas pivot tables data analysis and dashboards)) document management systems and collaboration tools (Teams and Sharepoint) HRIS (Workday) and survey and employee feedback tools.
  • Internal motivation to be action oriented and results driven with ability to adapt to change.
  • Proven ability to work in an ambiguous environment and collaborate across multiple areas in order to achieve a common business objective.
  • Ability to learn understand and apply new technologies.

Working Environmental Conditions

  • At least one day per week in office.
  • The work may be performed during the departments core business hours; either by telecommuting or in an office environment based on the teams business requirements and manager approval.
  • Some off-hours and weekends may be needed to resolve problems and respond to emergencies.
  • Is expected to meet in-person as directed by manager.
  • Because of the physically separated sites for UW Medicine this position requires the ability to travel to alternative work locations as needed.
